Overview

Join our dynamic team as a Member Concierge, where your friendly demeanor and organizational prowess will create a welcoming and efficient environment for our members and visitors. In this vital role, you will serve as the first point of contact, managing front desk operations with enthusiasm and professionalism. Your multitasking skills and attention to detail will ensure smooth office operations, exceptional customer service, and seamless communication across all departments. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant community-focused organization.

Responsibilities

Create a luxury first impression by warmly greeting every member, guest, vendor, and visitor with professionalism, enthusiasm, and exceptional hospitality.
Deliver an elevated member experience by anticipating guest needs, offering beverages and amenities, escorting guests when appropriate, and ensuring every visit exceeds expectations.
Manage incoming calls, emails, and text messages with professionalism, accurately directing inquiries, scheduling appointments, and providing detailed information regarding services, memberships, retail products, and events.
Execute consultative sales by rebooking future appointments, promoting memberships, recommending retail products, and educating guests on available services to maximize retention and revenue.
Perform front desk operations including guest check-in/check-out, appointment scheduling, payment processing, membership management, gift card sales, and maintaining accurate guest records within Zenoti.
Maintain the presentation of the reception area, member lounge, retail displays, beverage station, and common areas to ensure they consistently reflect Hammer & Nails' luxury standards.
Continuously restock retail displays, beverages, snacks, towels, robes, capes, grooming supplies, and guest amenities throughout the day.
Support service providers by replenishing approved supplies at barber, cosmetology, nail, and spa stations to ensure uninterrupted guest service.
Assist with laundering, folding, organizing, and distributing towels, linens, robes, and capes as needed.
Maintain cleanliness throughout the facility by sweeping, sanitizing, emptying trash, organizing workspaces, and completing opening, mid-day, and closing cleaning checklists.
Receive, unpack, organize, and properly store inventory and retail shipments while maintaining organized storage areas.
Monitor inventory levels of retail, professional products, beverages, and operational supplies, notifying management of replenishment needs and assisting with inventory counts.
Support administrative operations through data entry, document management, filing, proofreading, calendar coordination, expense tracking, inventory documentation, and maintaining accurate business records.
Assist leadership with special projects, events, promotions, community outreach, and additional operational tasks that support the overall success of the business.
Communicate maintenance, safety, facility, or inventory concerns promptly to management.
Collaborate with all team members to ensure efficient daily operations while maintaining a clean, organized, and welcoming environment.
Demonstrate initiative by proactively identifying opportunities to improve the guest experience without requiring direct supervision.
Perform additional responsibilities as assigned to support business operations and uphold the Hammer & Nails brand standards.

Qualifications & Skills

IL BASSET Certification - Required
Previous experience in luxury hospitality, customer service, front desk, concierge, reception, retail, or administrative support preferred.
Proven ability to build relationships and confidently recommend and sell memberships, retail products, and services through a consultative sales approach.
Exceptional verbal and written communication skills with polished phone etiquette and professional interpersonal skills.
Demonstrates adaptability by remaining composed under pressure, embracing changing priorities, and maintaining a solution-oriented mindset in a fast-paced environment.
Exhibits strong learning agility with the ability to quickly absorb new information, systems, procedures, and feedback while effectively applying them in real time.
Outstanding organizational and time management skills with the ability to prioritize multiple responsibilities while maintaining attention to detail.
Demonstrates initiative, accountability, and the ability to work independently while contributing positively to a team environment.
Strong problem-solving skills with a commitment to delivering exceptional member experiences and resolving concerns professionally.
Proficient in Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), Zenoti, point-of-sale systems, and general computer applications.
Experience with inventory management, record keeping, data entry, and basic administrative functions preferred.
Bilingual communication skills are considered an asset.
Ability to maintain confidentiality and exercise sound judgment when handling sensitive member and business information.
Ability to stand for extended periods, perform light lifting (up to 25 pounds), and assist with stocking, organizing, and maintaining the salon environment throughout the day.
