Clinic Office Coordinator
Job Purpose:

The Clinic Office Coordinator for a Behavioral Healthcare Clinic is responsible for the clinic's overall management, administration, and operational efficiency. This role involves ensuring quality patient care, compliance with regulations, effective staff management, and efficient resource use. The coordinator works closely with clinical and administrative teams to maintain high service delivery standards and foster a positive, patient-centered environment.

Duties:

· Maintains office services by organizing office operations and procedures; controlling correspondence; reviewing and approving, assigning, and monitoring clerical functions.

· Monitor’s clinicians and clinical staff, and uses appropriate tools to make assessments and/or recommendations utilizing audit tools. (Phone Screenings, Evaluation, and Audit Documents).

· Prepares summary and makes recommendations regarding program services; communicates information to the treatment team.

· Maintains knowledge of laws and regulations surrounding confidentiality of mental health and substance abuse patient charts.

· May be required to welcome clients and visitors in person or on the telephone, answering or referring inquiries.

· Maintains office efficiency by planning and implementing office systems, and layouts.

· Completes operational requirements by scheduling and assigning employees, following up on work results in absence of Office Manager or Directors.

· Maintains office staff by orienting, coaching, and training employees in the absence of Office Manager or when required.

· Serves as the liaison between Chief Executive Officer, Chief Operations Officer, Directors, Coordinators, and Quality Assurance Liaison to communicate information related to outside services and vendors.

· Maintains professional and technical knowledge by attending educational workshops.

· Maintains personal and professional boundaries and wellness.

· May be assigned to open and/or close facility/facilities.

· Contributes to team effort by accomplishing related results as needed.

· Conducts bi-weekly Team and/or Treatment Planning Conference Meeting, as required, with clinical staff to ensure patient and Company goals are being met and ensures that company mission and goals are being achieved.

· Completes daily Shift and/or Assignment Summary as required.

Minimum education:

Bachelor’s degree in healthcare administration, business management, or a related field (Master’s degree preferred).
Minimum of 3-5 years of experience in healthcare management, focusing on behavioral health services preferred.
Knowledge of behavioral health regulations, billing practices, and accreditation standards.
Proficiency in healthcare management software and electronic health record (EHR) systems.

· Experience in mental health, substance abuse counseling, and/or other human services area (preferred).

· Higher education is given preference.

Required certification or license:

· Any certification relevant to job duties including Certified Medical Assistant, Certified Medical Administrative Assistant, Nursing Assistant, LPN, RN, CADC, CRADC, NCRS, or Business Management degrees or Certifications.

· Illinois State issued Registered Nursing License, IAODAPCA certification, or other licenses/certificates (MSW, LSW, LCPC, QMHP, MHP or above).

Minimum experience required:

Three-years' experience in a substance abuse treatment, correctional or other social services/mental health setting. The three-year requirement can include time in an approved supervised practicum or internship program.

Job Type: Part-time

Pay: $34.50 - $37.90 per hour

Expected hours: 30.0 – 32.0 per week
