About the Role

Bluffs Physical Therapy is seeking a dependable, detail-oriented Administrative Assistant to support our front office operations and patient experience. This role is essential to keeping our clinic running smoothly and creating a welcoming, organized environment for both patients and staff.

Key Responsibilities

Provide exceptional customer service to patients in person and over the phone
Manage patient intake, scheduling, and check-in/check-out processes
Answer and direct incoming calls in a professional and timely manner
Support the Patient Care Coordinator with daily operations
Run and maintain reports for therapists and administrative needs
Create and manage Excel/Google Sheets for tracking and organization
Verify patient insurance benefits and communicate coverage clearly
Assist with billing preparation and administrative documentation
Help maintain a structured, positive, and team-oriented clinic culture

What We’re Looking For

Strong reliability and consistency in attendance and performance
Excellent communication and organizational skills
Ability to multitask and stay calm in a fast-paced environment
Confidence using computers, spreadsheets, and office systems
A proactive mindset—someone who takes initiative and follows through
A team player who contributes to a positive and accountable work culture

Preferred (but not required)

Previous experience in a medical office or administrative role
Familiarity with insurance verification or scheduling systems
Experience with Google Workspace or Excel
