Job Summary:
At Body Preserve, the Practice Manager is responsible for the overall success and
growth of the clinic, ensuring exceptional client experiences, fostering client retention,
and overseeing day-to-day operations. This role encompasses sales, consultations, and
driving clinic growth across all metrics while maintaining a high standard of service. The
Practice Manager will represent the Body Preserve brand, collaborate with the
leadership team, and contribute to building a thriving team that is client and revenue-
focused. They will also report directly to the CEO/Owners and work closely to align key
business goals and strategies, execute, and deliver all the CEO's requests to the team.
Key Responsibilities:
Client Success & Retention:
- Oversee the entire client journey, ensuring every client receives exceptional service and achieves their desired outcomes.
- Foster long-term relationships with clients to enhance retention and satisfaction.
- Ensure all clients are receiving full recommendations for all services and retail offered.
- Proactively follow up with clients post-treatment to ensure satisfaction, address concerns, and promote retention strategies.
- Handle client feedback and resolve complaints effectively, ensuring continued client satisfaction and loyalty.
Sales & Consultation:
- Lead sales efforts by actively supporting the team in upselling and recommending all services offered, including aesthetics, wellness treatments, and memberships.
- Conduct client consultations, assess needs, and provide tailored treatment recommendations that align with clients’ goals.
- Close sales during consultations and drive all categories of the business (aesthetic, lasers, memberships, retail, etc.).
- Achieve or exceed monthly service and retail sales goals.
- Monitor and track individual and team sales performance, ensuring consistent growth across all revenue categories.
Operations Management:
- Manage daily clinic operations, including scheduling, staffing, inventory management, and vendor relations.
- Ensure that clinic protocols and operational procedures are adhered to consistently, maintaining compliance with health and safety regulations.
- Maintain an organized and efficient clinic environment that supports high productivity and exceptional client care.
- Assist in building and implementing efficient systems and processes that improve overall clinic operations and service delivery.
Clinic Growth & Metrics:
- Drive clinic growth by analyzing performance metrics and identifying opportunities for improvement in client acquisition, retention, and sales.
- Collaborate with the leadership team to develop and execute strategies for increasing clinic revenue, profitability, and client satisfaction.
- Set and monitor performance goals for the team and ensure that clinic KPIs (Key Performance Indicators) are met or exceeded.
Team Leadership, Coaching & Performance Management:
- Lead, train, and mentor the clinic team to ensure a high level of service and consistent performance.
- Coach providers to ensure they are hitting their performance metrics, including sales, client retention, and service quality.
- Collaborate with the team to help identify inefficiencies and opportunities for the practice
- Conduct performance reviews with all team members and provide constructive feedback to support growth and development.
- Manage the hiring, onboarding, and firing processes as necessary, ensuring that all staff are aligned with the clinic’s goals and values.
- Foster a positive, collaborative team culture focused on personal growth, accountability, and excellence.
Brand Representation & Marketing:
- Represent Body Preserve at events, local networking opportunities, and community partnerships.
- Support marketing initiatives, including promotions, open houses, and client outreach efforts.
- Identify marketing opportunities to grow the practice
- Assist in community outreach efforts to increase brand visibility and generate new business opportunities.
- Ensure that the clinic’s brand standards are upheld in every client interaction, marketing material, and community engagement.
Administrative & Business Development:
- Assist in the creation and implementation of new systems and procedures that streamline operations, improve the client experience, and increase business efficiency.
- Track and report on clinic performance, presenting insights and recommendations for improvement to the CEO/Owners.
- Ensure the clinic meets all financial and operational goals, including revenue targets and operational KPIs.
Follow-up Calls & Client Retention:
- Manage follow-up calls to clients post-treatment to ensure satisfaction, address any concerns, and encourage repeat business.
- Implement and refine client retention strategies to ensure consistent loyalty and lifetime value.
- Support the team in maintaining accurate records of client interactions, treatments, and follow-up actions.
Execution of CEO Requests:
- Execute and deliver all requests, strategies, and directives from the CEO/Owners to the team to ensure alignment with business goals and objectives.
- Ensure that the team understands and effectively implements the CEO's vision, priorities, and expectations for clinic operations, client service, and growth.
- Act as the key communicator between the CEO/Owners and the clinic team to ensure the smooth implementation of new initiatives, processes, or changes.
Qualifications:
- 3+ years of management experience in a medical spa, aesthetic practice, or related field.
- Strong sales and client retention experience, with the ability to drive clinic growth across all business categories.
- Exceptional leadership, communication, and interpersonal skills.
- Proven track record of achieving operational and financial targets.
- Strong organizational skills and ability to manage multiple tasks efficiently.
- Comfortable working in a fast-paced, client-focused environment.
- Experience with system-building, operational improvements, and process implementation.
- Ability to work evenings and/or weekends based on business needs.
