Property Manager Position Summary
We are seeking an experienced, motivated, and results-driven Property Manager to oversee the daily operations of a multifamily residential community. The ideal candidate will be responsible for managing all on-site operations, supervising staff, maintaining high occupancy, maximizing collections, ensuring resident satisfaction, and preserving the overall appearance and value of the property.
The Property Manager will lead the leasing, maintenance, administrative, and resident relations functions while ensuring compliance with all federal, state, and local housing regulations. This individual must possess excellent leadership, organizational, and communication skills and be able to make sound decisions in a fast-paced environment.
Essential ResponsibilitiesProperty Operations
- Oversee all day-to-day operations of the property.
- Ensure the community is maintained to company standards and presents exceptional curb appeal.
- Conduct regular property inspections and address any deficiencies promptly.
- Develop and implement action plans to improve operational efficiency.
- Ensure all office and maintenance operations run smoothly and effectively.
- Monitor budgets, operating expenses, and overall financial performance.
- Review monthly financial reports and identify opportunities to improve performance.
Team Leadership
- Supervise, coach, mentor, and support all on-site employees, including leasing professionals, assistant managers, maintenance supervisors, and maintenance technicians.
- Conduct regular staff meetings and training sessions.
- Monitor employee performance and provide ongoing coaching and accountability.
- Assist with hiring, onboarding, scheduling, and performance evaluations.
- Foster a positive, professional, and customer-focused work environment.
Leasing & Occupancy
- Oversee all leasing activities to maintain and increase occupancy.
- Monitor leasing traffic, conversions, and closing ratios.
- Ensure all prospects receive exceptional customer service.
- Review applications and approve leases according to company policies.
- Analyze market conditions and recommend pricing strategies.
- Implement and oversee marketing initiatives, advertising campaigns, social media efforts, resident events, and outreach programs.
- Monitor competitor activity and market trends.
Resident Relations
- Maintain excellent resident satisfaction through responsive communication and exceptional customer service.
- Resolve resident concerns, complaints, and conflicts professionally and promptly.
- Promote resident retention through proactive communication and community engagement.
- Ensure resident requests are handled efficiently and followed through to completion.
Collections & Delinquency Management
- Monitor accounts receivable and delinquency reports.
- Oversee rent collections and payment arrangements.
- Ensure collection efforts are timely, documented, and compliant with company policies.
- Work closely with residents to resolve outstanding balances whenever possible.
- Coordinate with legal counsel regarding delinquent accounts requiring legal action.
Evictions & Legal Compliance
- Possess a thorough understanding of the eviction process from beginning to end.
- Ensure all notices are prepared accurately and delivered in accordance with applicable laws.
- Coordinate with attorneys, courts, and legal vendors throughout eviction proceedings.
- Attend court hearings when required.
- Maintain complete and accurate documentation for all legal matters.
- Ensure compliance with Fair Housing laws and all federal, state, and local regulations.
Maintenance & Property Preservation
- Work closely with the Maintenance Supervisor to ensure timely completion of work orders.
- Monitor preventive maintenance programs.
- Oversee unit turns to minimize vacancy loss.
- Ensure contractors and vendors perform quality work.
- Conduct regular inspections of common areas, amenities, vacant units, and occupied units when appropriate.
- Ensure safety standards and property appearance remain exceptional.
Compliance & Risk Management
- Maintain compliance with Fair Housing, OSHA, landlord-tenant laws, and all applicable federal, state, and local regulations.
- Ensure all required reports, files, inspections, and documentation remain current.
- Maintain confidentiality of resident and company information.
- Identify and mitigate operational risks.
Administrative Responsibilities
- Prepare weekly and monthly operational reports.
- Monitor occupancy, collections, delinquency, renewals, resident retention, work order completion, leasing performance, and budget variances.
- Maintain organized resident files and documentation.
- Process invoices, purchase orders, and vendor contracts as required.
- Ensure all company policies and procedures are consistently followed.
Qualifications
- Minimum of 3–5 years of multifamily property manager experience in property management.
- Previous experience supervising on-site teams.
- Strong knowledge of leasing, resident retention, collections, maintenance operations, budgeting, and financial reporting.
- Working knowledge of the eviction process and landlord-tenant laws.
- Excellent leadership, communication, conflict resolution, and organizational skills.
- Ability to prioritize multiple responsibilities while meeting deadlines.
- Professional appearance and exceptional customer service skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook).
Preferred Qualifications
- Experience using ResMan is preferred but not required.
- Experience with other property management software platforms is also welcomed.
- CAM (Certified Apartment Manager) designation is a plus but not required.
