Administrative Assistant (Excel & AI exp. req. / wholesale jewelry industry)
Location: New York, NY (Midtown / Manhattan)
Salary: $70,000 - $80,000 + Benefits

Administrative Assistant Description

Our client in the wholesale jewelry industry is looking for an Administrative Assistant to join their team in New York, NY (Midtown / Manhattan). In this role, you will support the Managing Director and internal team in a busy office, bringing structure and accuracy to daily operations. You will support inventory, reporting, presentations, and administrative projects while managing multiple priorities in a fast moving environment. The role requires strong written and verbal communication, exceptional organization, and high attention to detail as you maintain product information, prepare materials, and coordinate internal and external needs. You will use Excel and AI tools to solve problems, analyze information, and complete projects with limited oversight. To be considered, you must have professional work experience, advanced Excel skills, hands on experience using AI tools, and a general awareness of fashion and product trends. This is a great opportunity to gain exposure to nearly every part of a growing wholesale business while helping improve how the team operates.

Administrative Assistant Responsibilities

Support the Managing Director with schedules, correspondence, and priorities
Coordinate vendor calls, product supplies, packaging, labels, and travel
Maintain product information, images, and inventory data in company systems
Track inventory and identify discontinued or unavailable products
Analyze sales reports to identify product and assortment trends
Recommend new products based on sales and merchandising data
Create buyer presentations, product lookbooks, and merchandising materials
Use AI tools to edit and standardize product images
Identify ways to improve data entry, reporting, research, and other workflows
Build processes and procedures that add structure to daily operations

Administrative Assistant Qualifications

2+ years of administrative or operations support experience required
High accuracy in data entry and recordkeeping experience required
Advanced Excel skills (formulas, pivot tables, lookups, data sorting) required
Hands‑on experience using AI tools for business-related tasks required
Proficiency with presentation software (e.g. PowerPoint, Google Slides, etc.) required
Ability to interpret data and make recommendations required
Familiarity with consumer products or fashion trends
