About the Position
Jaliza’s Sedona Luxury Spa & Beauty Lounge is looking for an experienced, warm, polished, and dependable Client Experience Coordinator to join our team full-time.
We are looking for someone who already understands how important the front desk is to the success of a luxury spa or med spa.
The right person knows that the client experience begins long before someone walks through the door. It starts with how quickly a phone call is answered, how thoughtfully a text is written, how accurately an appointment is booked, and whether the client feels genuinely taken care of.
It continues when the client arrives, throughout their visit, at checkout, during rebooking, and through thoughtful follow-up afterward.
We are looking for someone who understands those details and takes pride in doing them well.
This is a great opportunity for someone with previous front desk, reception, hospitality, spa, salon, med spa, or client service experience who wants a consistent Monday-Friday position in the beauty and aesthetics industry.

About Our Environment
Jaliza’s Sedona Luxury Spa & Beauty Lounge offers beauty, skincare, hair, and medical aesthetic services in a luxury client-focused environment.
We are also actively growing and improving the way our front desk operates.
We have created SOPs, training materials, scripts, and processes for the position, and we will continue refining those systems as our business grows.
Because of that, we are looking for someone who is comfortable working with an established team while also being adaptable.

Your Role in the Client Experience
As the Client Experience Coordinator, you will often be the first and last point of contact for our clients.
That matters to us.
You will help make sure clients feel welcomed, remembered, informed, and cared for throughout their experience.
First Impressions
You will:
- Greet every client warmly when they arrive.
- Acknowledge clients quickly, even when you are assisting someone else.
- Learn and use client names whenever possible.
- Make new guests feel comfortable during their first visit.
- Offer water and help create a welcoming waiting experience.
- Communicate with providers when their clients arrive.
- Pay attention to clients who may have been waiting longer than expected.
- Help maintain the polished and elevated atmosphere we want our clients to experience.
We do not want clients to feel like they are simply being checked in and checked out.
We want them to feel genuinely taken care of.
Phone, Text & Client Communication
A large part of this position involves communication.
You will:
- Answer incoming calls professionally and warmly.
- Respond to client text messages.
- Return missed calls and voicemails.
- Help answer general questions about appointments and services.
- Take detailed messages when another team member needs to respond.
- Follow up on unresolved client questions.
- Communicate schedule changes clearly.
- Confirm upcoming appointments.
- Make sure important messages do not get forgotten.
Strong written communication is important.
Texts should be professional, warm, easy to understand, and appropriate for a luxury business.
You are never expected to guess when you do not know an answer. You should feel comfortable telling a client you will find the correct information and then actually following through.
Booking & Scheduling
You will use Vagaro to help manage our appointment schedule.
Responsibilities include:
- Booking new and returning clients.
- Matching clients with the appropriate service and provider.
- Understanding basic service timing.
- Rescheduling appointments.
- Collecting required deposits.
- Confirming upcoming appointments.
- Monitoring unconfirmed appointments.
- Watching for cancellations and openings.
- Helping fill appointment gaps when opportunities arise.
- Communicating important schedule changes with providers.
One of the most important qualities we are looking for is someone who understands that the appointment schedule directly affects both our clients and our providers.
Accuracy matters.

Follow-through matters.
You will receive training on our providers, services, booking rules, and Vagaro procedures.
Client Check-In & Checkout
You will help clients move smoothly through their visit from arrival through checkout.
This includes:
- Checking clients in when they arrive.
- Confirming necessary forms or information.
- Notifying providers that their client has arrived.
- Processing payments after services.
- Reviewing services and totals before completing checkout.
- Assisting with retail purchases.
- Providing receipts.
- Helping with gift cards and deposits.
- Making sure checkout feels warm rather than rushed.
- Thanking clients before they leave.
Accuracy is especially important when working with appointments and payments.
If something does not look right, we expect you to stop and ask rather than guess.
Rebooking & Client Retention
Rebooking is an important part of excellent client care.
You will:
- Ask clients whether they would like to schedule their next appointment.
- Work with providers to understand recommended return timing.
- Help clients find convenient future appointments.
- Make notes when appropriate.
- Help follow up with clients who may be due to return.
- Help reconnect with clients who canceled without rescheduling.
The goal is never to pressure someone.
The goal is to make continuing their care easy.
Client Follow-Up
Follow-up is an area that is especially important to us.
A client should not feel forgotten after they leave.
Depending on the situation, you may help:
- Follow up with new clients.
- Reach out to clients who did not rebook.
- Contact clients who canceled and did not reschedule.
- Track whether appropriate post-service follow-up was completed.
- Document client responses.
- Make sure questions or concerns reach the correct provider or manager.
Medical or treatment-specific follow-up remains with the appropriate provider.
Your responsibility is making sure communication does not fall through the cracks.
Retail & Product Support
You will also become familiar with the professional skincare, hair, and beauty products we carry.
You may:
- Complete retail purchases at checkout.
- Reinforce products recommended by providers.
- Help clients locate products.
- Look up previous purchases.
- Keep retail displays presentable.
- Restock products when needed.
- Learn basic product information over time.
Providers will handle recommendations that require more advanced skincare or treatment knowledge.
We expect you to ask rather than guess.
Reviews & Client Feedback
Happy clients are one of the best reflections of the experience our team provides.
When appropriate, you will:
- Invite happy clients to leave a Google review.
- Show clients how to use our review tap card.
- Mention the review option included with their Vagaro receipt.
- Listen carefully when a client gives feedback.
- Communicate concerns to the appropriate person.
You should be able to recognize the difference between a client who is excited about their experience and someone who needs additional care or attention.
Handling Client Concerns
You will occasionally speak with clients who are frustrated, confused, or unhappy.
We are looking for someone who can remain calm and professional.
Your role is to:
- Listen.
- Let the client explain the concern.
- Stay respectful and neutral.
- Avoid arguing or becoming defensive.
- Take accurate notes.
- Make sure the concern reaches the appropriate person.
- Follow through when a response is promised.
You will not be expected to independently make decisions involving serious complaints, refunds, medical concerns, major policy exceptions, or unusual circumstances.
Our Front Desk Manager, providers, and leadership are available when those situations arise.
Supporting the Daily Flow of the Spa
You will also help maintain the overall client-facing environment throughout the day.
This can include:
- Keeping the front desk presentable.
- Straightening the waiting area.
- Restocking client amenities.
- Keeping retail displays looking polished.
- Checking that guest areas remain presentable.
- Reviewing upcoming appointments.
- Helping prepare for the following day.
- Completing basic opening and closing responsibilities.
- Communicating unfinished tasks or concerns to the appropriate team member.
This is a team environment. Everyone plays a role in creating the experience our clients see and feel.
Required Experience
We are looking for candidates with previous front desk, reception, hospitality, spa, salon, med spa, medical office, luxury retail, or similar client-service experience.
You should already be comfortable:
- Working directly with clients
- Answering a business phone
- Managing appointments
- Handling multiple client needs at once
- Communicating professionally
- Following up on tasks and messages
- Working with scheduling or point-of-sale software
- Handling payments
- Maintaining client confidentiality and professionalism
Experience with Vagaro is a plus but is not required.
Experience in the beauty, aesthetics, spa, wellness, hospitality, or medical aesthetics industry is strongly preferred.
