POSITION SUMMARY

Provides administrative, operational, fiscal, and program support to assigned departments and programs. Coordinates communication, scheduling, meeting logistics, records, purchasing, travel, and documentation to support efficient service delivery. Maintains accurate records and confidential information in accordance with agency procedures. Serves as a liaison between ESD staff, districts, partners, and the public to support timely communication and responsive program operations.

ESSENTIAL FUNCTIONS

Coordinate administrative and operational support for assigned departments, programs, supervisors, and teams, including calendars, meetings, professional development logistics, travel arrangements, communications, office systems, room reservations, and event logistics.

Prepare, edit, format, distribute, and maintain documents, agendas, minutes, forms, reports, correspondence, spreadsheets, presentation materials, and other department materials.

Serve as a communication liaison with ESD staff, school districts, community partners, vendors, and the public by responding to inquiries, coordinating communications, and ensuring timely follow-up.

Maintain accurate electronic and paper records, databases, files, and documentation in accordance with agency procedures records retention requirements, and confidentiality standards.

Support fiscal operations by processing purchase orders, invoices, reimbursements, travel forms, travel expense vouchers, contracts, registrations, deposits, budget tracking documents, and related fiscal records.

Monitor deadlines, track assignments, collect information, and assist with reporting requirements to support efficient program operations and accountability. Coordinate meetings, trainings, and events by managing logistics, facilities, technology, materials, registrations, and documentation.

Provide customer service, reception, and office support functions, including telephone coverage, mail distribution, inventory management, supply ordering, and maintenance of administrative systems.

Support multiple supervisors or teams simultaneously by organizing priorities, maintaining calendars and records, coordinating communications, and assisting with administrative follow-through.

Maintain confidentiality of department, staff, fiscal, and program information in accordance with applicable agency procedures

OTHER JOB FUNCTIONS

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

Knowledge of:

Knowledge of office administration practices, records management, business correspondence, and customer service principles.

Knowledge of confidentiality requirements, records retention procedures, and applicable federal, state, and agency regulations.

Knowledge of basic fiscal, purchasing, travel, and budget tracking processes.

Knowledge of educational program operations, organizational procedures, and administrative support practices.

Knowledge of meeting coordination, event logistics, and office systems.

Skill in:

Skill in organizing and prioritizing multiple assignments while maintaining accuracy and attention to detail.

Skill in preparing, editing, and maintaining correspondence, reports, spreadsheets, presentations, and other business documents.

Skill in providing professional customer service and communicating effectively with staff, districts, students, families, community partners, and the public.

Skill in using Microsoft Office Suite, database systems, virtual meeting platforms, and data management tools.

Skill in maintaining accurate records, tracking information, and supporting administrative and operational processes.

Ability To:

Ability to manage multiple deadlines, interruptions, and competing priorities in a fast-paced environment.

Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.

Ability to coordinate processes, monitor timelines, and support operational needs across multiple programs and departments.

Ability to work independently while also collaborating effectively with supervisors, teams, and external partners.

Ability to analyze information, solve routine problems, and follow through on assignments with minimal supervision.

Ability to learn and apply new procedures, technologies, and agency systems.

Ability to establish and maintain positive working relationships with diverse individuals and groups.

REQUIRED QUALIFICATIONS

Education:

Bachelor's degree in Business Administration, Office Administration, Education, Public Administration, Communications, or a related field. Relevant education and experience may be substituted for required education as determined by ESD 105.

Experience:

Minimum of three (3) years of progressively responsible administrative or office support experience.

Background Requirements:

Successful completion of a Washington State Patrol WATCH check is required. A fingerprint-based background check through the Washington State Patrol and FBI in accordance with OSPI and district policy.

Preferred Qualifications:

Bachelor's degree in Business Administration, Office Administration, Education, Public Administration, or a related field.

Experience working in an educational service district, school district, public agency, or nonprofit organization.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS

Work Environment:

Work is primarily performed in an office or hybrid office setting with frequent computer use, telephone communication, meetings, records management, and interaction with staff, students, families, districts, community partners, and the public. The position may require occasional travel to districts, partner sites, meetings, or agency events.

Physical Demands

The usual and customary methods of performing the job’s functions require the following conditions:

Sitting, typing, viewing a computer screen, reading documents, and using standard office technology.

Speaking, hearing, and communicating with staff, districts, partners, and the public.

Operating office equipment such as copiers, printers, scanners, and audiovisual equipment.

Carrying files, office supplies, and materials weighing up to 25 pounds.

Occasional (up to 33% of the time):

Lifting, carrying, or moving materials weighing up to 25 pounds.

Setting up meeting, training, or event materials and equipment.

Traveling to off-site meetings, trainings, or events as assigned.
