Job Title: In-Office Office Manager & Executive Assistant (Hybrid Role)

Location: Sevierville / Sevier County, TN (In-Office / Local Errands)

Position Type: Full-Time, Mon–Fri

Compensation: Salary paid weekly; $42,000 – $50,000/year

About Us

We are an established custom home builder and residential general contractor operating in East Tennessee. We pride ourselves on executing high-quality residential construction projects from design through completion. We are seeking a proactive, highly organized, and sharp In-Office Office Manager & Executive Assistant to anchor our daily administrative operations, coordinate local logistics, and provide high-level leverage to company ownership.

Position Overview

This is a dynamic, hybrid role combining office management, executive support, and construction project administration. You will serve as the central hub of our local operations—acting as the primary physical gatekeeper for our office, our clients, and our field subcontractors. You will work closely with the business owner and our remote outsourced bookkeeping/controller team to keep projects moving smoothly, on time, and completely compliant.

Key Responsibilities

1. Office Management & Local Operations

Maintain a clean, highly organized, and professional physical office environment.
Manage office logistics, including inventory, ordering supplies, and managing local office vendors.
Prepare the office and materials for high-priority meetings with custom home clients, construction lenders, and subcontractors.
Handle essential local errands, including daily PO Box mail pickup and occasional manual delivery of time-sensitive bills or documents.
Utilize professional office technology, including printing, scanning, and plotting full-size ($24” x 36”) architectural plan sets for field and client use.

2. Vendor Onboarding & Compliance Chasing

Act as the primary point of contact for subcontractor administrative onboarding.
Ruthlessly chase down, collect, and verify critical onboarding paperwork from subcontractors, including W-9s and Certificates of Insurance (COI).
Proactively monitor subcontractor General Liability and Workers' Compensation expiration dates to ensure 100% compliance before crew members step onto a jobsite.
Upload and organize all compliance records directly into our construction management platform (Ressio) and accounting files.

3. Construction Project & Contract Administration

Prepare standard contract templates and Professional Services Agreements (PSAs) for electronic routing and signature tracking.
Maintain absolute organization of electronic project files within Google Drive and Ressio, ensuring absolute consistency across platforms.
Coordinate local utility setups (temporary and permanent water, electricity, etc.) for active and upcoming residential jobsites.
Track client furniture and specialty fixture purchases, managing shipping timelines, receiving logistics, and local storage coordination.

4. Notarization & Draw Support

Obtain or maintain a Tennessee Notary Public commission (fully funded by the company) to legally notarize contractor affidavits, draw requests, and lien waivers right in the office.
Organize and package notarized documentation required by residential project lenders for timely draw processing.

Qualifications & Skills

Experience: 2+ years of experience in an administrative assistant, executive assistant, or office manager role. Experience in residential construction, real estate, or a building-adjacent trade is highly preferred but not required.
Technical Proficiency: Comfortable navigating modern digital ecosystems. Proficiency with Google Drive/Workspace and standard office tech is required. Experience with QuickBooks Online or construction management software (like Ressio, CoConstruct, or Buildertrend) is a major plus.
Organizational Mastery: Exceptional eye for detail. You are someone who genuinely enjoys organizing digital folders, setting up reliable workflows, and maintaining tight filing structures.
Communication Skills: Professional, firm, yet polite phone and email demeanor. You must be comfortable picking up the phone to firmly chase down paperwork from busy field subcontractors.
Credentials: Must possess a valid driver’s license and reliable transportation for local errands (PO Box, etc.). Willingness to become a licensed Tennessee Notary Public (fees paid by employer).
