Receptionist Responsibilities

As the Receptionist, you will serve as the face of our facility while providing administrative support that helps ensure smooth daily operations.

Responsibilities include:

Greet residents, families, visitors, vendors, and staff in a friendly and professional manner.
Answer and direct incoming calls using a multi-line phone system while providing excellent customer service.
Take and distribute accurate messages promptly.
Provide clerical and administrative support, including typing, copying, faxing, filing, scanning, and laminating documents.
Process incoming and outgoing mail and deliveries.
Maintain organized office files and records.
Monitor and replenish office supply inventory.
Schedule and coordinate resident hair salon appointments and distribute weekly schedules.
Prepare and distribute correspondence regarding resident care planning meetings.
Update resident door signage as needed.
Coordinate telephone system maintenance and voicemail setup.
Maintain the facility meeting room calendar and assist with scheduling.
Perform additional administrative duties as assigned.

Qualifications

Minimum of one (1) year of receptionist, clerical, administrative, or customer service experience in a professional office environment.
Previous healthcare, long-term care, or skilled nursing experience preferred, but not required.
Proficiency with Microsoft Word, Excel, Outlook, and other standard office applications.
Excellent verbal and written communication skills.
Strong organizational, multitasking, and customer service abilities.
Ability to maintain confidentiality and professionalism in a fast-paced healthcare environment.
