Fitness Equipment Sales & Service Company

Position Type: Full-Time

Department: Service & Operations

Reports To: Owner / General Manager

Position Overview:

We are seeking a highly organized, dependable, and customer-focused Dispatcher / Office Manager to join our growing fitness equipment sales and service company. This position is the central point of communication between our customers, service technicians, sales team, and management. The ideal candidate is someone who enjoys a fast-paced environment, can confidently handle multiple priorities, and takes pride in providing excellent customer service.

The Dispatcher / Office Manager will be responsible for:

Answering customer calls, coordinating service appointments, dispatching technicians, communicating with customers, preparing work orders, and invoicing customers after service is completed.
Key Responsibilities:
Customer Service & Phone Support Answer incoming customer calls and emails in a professional and friendly manner.
Assist customers with service requests, scheduling, equipment questions, and general inquiries.
Gather accurate information about equipment issues and customer needs. Communicate appointment times and service updates to customers.
Follow up with customers regarding completed service, estimates, parts, and outstanding issues.
Maintain positive relationships with residential, commercial, gym, and fitness facility customers.
Dispatching & Service Scheduling Schedule and coordinate daily service calls for field technicians. Efficiently route technicians based on location, availability, skill set, and urgency. Maintain and update the service calendar.
Communicate service appointments and changes to technicians and customers.
Monitor technician schedules throughout the day and adjust appointments as needed.
Coordinate return visits when additional parts, labor, or repairs are required. Prioritize emergency or time-sensitive service requests.
Work Orders & Service Administration Create, organize, and maintain customer work orders.
Enter accurate customer, equipment, labor, parts, and service information into the company system.
Review completed technician paperwork for accuracy and completeness. Track open service calls from initial customer contact through completion.
Monitor outstanding estimates, parts orders, and follow-up appointments. Maintain organized customer and service records.
Invoicing & Accounts Receivable Support Prepare and send customer invoices for completed service and equipment repairs.
Review technician work orders to ensure all labor, parts, and applicable charges are accurately billed.
Process invoices and assist with collecting outstanding balances. Follow up on unpaid invoices when necessary.
Coordinate with management and accounting regarding billing questions or discrepancies.
Office Management Assist with the daily administrative operations of the service department.
Maintain organized digital and physical files. Order and maintain office supplies as needed.
Assist management with reports, scheduling, customer records, and other administrative tasks.
Help improve office and service procedures to make the company more efficient. Perform other administrative duties as needed.

Qualifications

Previous experience in dispatching, scheduling, customer service, office administration, or service coordination preferred.
Strong organizational and time-management skills. Excellent telephone and written communication skills.
Comfortable working with customers and field service technicians.
Strong computer skills and ability to learn new software quickly.
Experience with invoicing, billing, or accounting software is a plus.
Ability to multitask and prioritize in a busy office environment. Strong attention to detail and accuracy.
Ability to remain calm and professional when dealing with scheduling changes or customer concerns.
Must be dependable, punctual, and able to work independently. Fitness equipment, commercial service, or field-service experience is a plus but not required.

The ideal candidate is a person who can keep the office organized while handling a steady flow of phone calls, technicians, customers, schedules, and invoices. You should be comfortable jumping between tasks, solving problems, and communicating with people throughout the day. You don't need to be a fitness equipment expert on day one, we can teach you our equipment and service processes. What matters most is that you are organized, dependable, professional, and great with customers.
