Full Job Description

Job Summary

As the first point of contact for ASHA, the position must be a professional, friendly and positive image for the organization to the residents, clients, business partners, government representatives, and the general public. Primary duties are greeting visitors, answer and direct calls, assist in general inquiries about ASHA programs, perform clerical duties, filing, data entry and document organization. The position must have excellent customer service while maintaining confidentiality and professionalism.

Duties

Receives and directs all phone calls received through the switchboard in a pleasant manner
Readily available to great visitors while offering general information about services and applications forms.
Maintain logs for incoming and outgoing calls and correspondence.
Performs filing duties in the file room weekly or as needed.
Keeps log sheets for any files checked in or out from the file room.
Assist departments to input paperwork into electronic databases, as needed.
Conduct periodic inspections of the file system ensuring records are properly filed.
Ensure that sensitive information is safeguarded
Reduce paperwork by disposing non-permanent records periodically or in bulk shred services when needed
Assist in organizing and maintaining office supply and cleaning supply rooms, as needed.
Other duties assigned by housing department manager.

Requirements

Computer knowledge
Social/Customer services skills
Professional appearance and positive attitude
Knowledge of housing software system (“Kanso”)
Proficiency in Microsoft Office
Knowledge of NAHASDA Regulations.
Dependable, punctual and strong attendance record
Ability to interpret and understand policies and procedures
Takes initiative, follows instructions
Writes clearly and informatively, ability to edit spelling & grammar
Monitors own work to ensure quality, completes work in a timely manner
Completes tasks on time
Ability to work effectively with the public and as part of a team
Ability to travel for training
Ability to work unsupervised

Handles pressure and meets deadlines
Use time efficiently
Respectful to visitors and co-workers
Keeps commitments
Volunteers readily seek increased responsibilities, ask for and offer help when needed
Ability to follow rules of confidentiality

Minimum Experience and Training:

Minimum high school diploma or general education degree (GED)
Two years related experience and training or equivalent combination of education and experience.
General knowledge of HUD and Indian Housing Programs
Oklahoma Driver’s license.
Above average Typing Skills.
