Full Job Description

Title: Senior Retail Loan Assistant

Job Type: Full Time, In Person

FSLA: Non-exempt

Schedule: Monday-Friday

Location: Cleveland, WI

Starting Rate: $28/hour (negotiable based on experience and education)

Summary:

The Senior Retail Loan Assistant oversees the preparation, review, and processing of loan documentation to ensure accuracy, regulatory compliance, and timely loan closings. This experienced role requires advanced knowledge and significant prior loan operations experience, serving as a key resource for lenders and loan servicing staff by providing technical expertise, resolving documentation issues, and supporting collateral, escrow, and system maintenance functions. The Senior Retail Loan Assistant also helps guide workflow, supports team members, and ensures high standards of quality and customer service.

Key Responsibilities:

Prepare and review all loan closing documents to ensure accuracy and compliance with legal, regulatory, and Bank policy requirements.
Identify and resolve collateral or documentation deficiencies in collaboration with Loan Officers.
Deliver completed closing packages and verify documents prior to signature.
Maintain loan tickler items and update the tracking system as new or completed items arise.
Upload required information into loan origination and underwriting systems, including secondary market mortgage platforms.
Process paid-off loans, prepare and record lien releases, and ensure proper distribution of paid-off documents.
Complete system maintenance requests to update client loan information.
Assist with maintain organized loan files and the loan vault according to Bank procedures.
Support tracking real estate taxes and escrow accounts for serviced loans.
Perform all escrow-related activities, including setup, payments, and annual analysis.
Respond to inquiries from lenders and clients regarding existing loans.
Assist with maintaining required Customer Information Program (CIP) documentation for new customers.
Prepare and process loan department and general ledger entries related to loan transactions.
Provide backup support for loan servicing functions during workflow changes or staffing needs.
Uphold Bank policies, procedures, and all applicable federal and state regulations, including BSA requirements.
Demonstrate ethical conduct, professionalism, respect, and commitment to organizational values.
Complete administrative tasks accurately and on time.
Perform additional duties as assigned.

Minimum Qualifications:

Minimum five (5) years of loan experience with a knowledge of loan documentation preferably in Encompass, Ellie Mae, along with proficient knowledge of banking policies, procedures, and terminology.
Maintain the highest level of confidentiality and discretion regarding client and bank information.
Technical knowledge and proficient utilization of the following computer systems and software programs: Encompass, Ellie Mae & Compliance One Lending, Microsoft Word, Microsoft Excel, Microsoft Outlook, Core Director/SilverLake
High School diploma
Prior supervisor experience is preferred.
