Duties

Greet visitors warmly, verify appointments, and direct them appropriately to ensure a professional first impression
Manage multi-line phone systems, handle incoming calls with courtesy, and route inquiries efficiently using excellent phone etiquette
Maintain organized front desk operations including filing, data entry, and document proofreading to support daily administrative needs
Utilize office management software such as Microsoft Office, Google Workspace, and spreadsheets to prepare reports, schedules, and correspondence
Assist with calendar management and appointment scheduling for staff members or clients as needed
Provide customer service by responding promptly to inquiries via phone or email, supporting client communication effortsSkills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation and communication
Strong computer literacy with experience in data entry, file management, and clerical tasks
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Bilingual abilities are highly desirable for communicating with diverse clients and visitors
Familiarity with multi-line phone systems and phone communication best practices
Experience in office management or administrative roles, including calendar management and personal assistant tasks
