Full Job Description

Newsroom Operations Coordinator

Schedule: Full-time; On-call may be required.

Summary:

The Newsroom Operations Coordinator is responsible for supporting the day-to-day operational and administrative functions of Reach Media’s newsroom. This role serves as a central point of coordination across editorial, production, and support teams to ensure efficient planning and scheduling.

The Coordinator will manage newsroom logistics, including staff scheduling, deployments, credentialing, resource allocation, and newsroom related events while ensuring alignment with editorial priorities and operational requirements. This individual plays a critical role in maintaining continuity in a fast-paced, live news environment by adapting to breaking news demands and supporting real-time decision-making.

Working closely with editorial leadership and cross-functional teams, the Newsroom Operations Coordinator ensures that staffing, coverage plans, and operational processes are executed effectively and in accordance with company policies and standards.

Responsibilities:

Newsroom Coordination & Operations

Coordinate daily newsroom operations and provide comprehensive support to editorial teams across all coverage.
Plan, coordinate, and execute newsroom coverage for events from start to finish, ensuring all editorial and operational requirements are met.
Assist with planning coverage logistics, including locations, crews, and technical needs.
Act as a central point of contact for editorial coordination and operational support.

Scheduling & Resource Management

Manage and align Rota Cloud shift schedules, and staff deployments based on newsroom priorities and coverage needs.
Ensure the schedules are accurate (recording shifts, leave, sickness), planned, approved and aligned with the Company’s timekeeping system.
Responsible for securing staffing needs in the event of absences, leaves, etc., and adjusting schedules as required.
Weekly reports highlighting overtime, tardiness, and unplanned absences for staff.
Understand time and attendance policies such as overtime policy, on call policy, nightshift policy, and various leave policies.
Ensure timeliness, accuracy and completeness of timecards and leave requests.
Support real-time adjustments to schedules and staffing in response to breaking news.

Deployment and Travel Management

Coordinate travel plans with journalists and camera crews. Liaise with Finance department for travel budget. Review and approve travel requirements and preferences from the employee.
Manage travel documentation including passports, visas, and other required documents ensuring validity and accuracy. Handle visa applications when necessary. Coordinate with shooters/editors and travel booker for carnet.
Plan travel itineraries including flight schedules and lodging. Maintain online deployment form and coordinate with booking coordinator. Coordinate cross departments for carnet requirements and manage custom tax issues on camera equipment for international travel.
Understand company travel policies and reimbursement policies such as per diem policy, mileage policy, business travel policy and car rental policy. Ensure compliance with the employees.
Manage travel booking and itinerary changes when travel booker is out of office and in the event of travel emergencies.
Support live and breaking news operations by reallocating resources as needed.
Manage credentialing process i.e. FPA, White House, State Department, NY Press passes, UNGA press passes.
Review and approve Uber charges to ensure compliance and avoid misuse.

Event Planning

Research and present local newsworthy events to the News Director.
Plan, coordinate, and execute newsroom coverage for all events from start to finish, managing logistics, bookings, and ensuring all editorial and operational requirements are met.
