Emeritus Home Care of South Carolina is seeking a highly organized, detail-oriented, and proactive Home Care Administrator to oversee daily service operations and ensure seamless coordination between clients, caregivers, and internal processes.
This is a hands-on administrative and operations role responsible for maintaining structure, compliance, communication, and service continuity in a fast-paced home care environment. The Administrator will serve as the central point of coordination, ensuring that both clients and staff receive timely support, all services are properly staffed, and all documentation remains accurate and audit-ready.
While this is an administrative position, it plays a direct role in supporting high-quality, compassionate care for seniors and families. Every decision made in this role contributes to the comfort, safety, and dignity of the individuals we serve.
Position Overview
- Managing all day-to-day administrative operations within the office
- Overseeing communication between clients, families, caregivers, and case managers
- Ensuring all scheduled services are fully staffed and properly coordinated
- Maintaining compliance with all employee credentialing and documentation requirements
- Supporting recruitment, onboarding, and readiness of new hires
- Resolving operational issues quickly to prevent disruption in client care
This role is critical in ensuring continuity of care, staff accountability, and overall operational efficiency.
Core Responsibilities
1. Communication & Client Coordination
- Serve as the primary point of contact for all incoming communication (phone calls, emails, inquiries)
- Respond promptly and professionally to client, family, and caregiver concerns
- Conduct routine client check-ins to monitor satisfaction, service quality, and any changes in care needs
- Address and resolve complaints, service issues, or concerns with urgency and professionalism
- Provide clear, consistent communication to both staff and clients regarding schedules, updates, and expectations
2. Scheduling & Service Management
- Create, manage, and maintain accurate caregiver schedules to ensure full coverage of all assigned cases
- Coordinate shift assignments based on caregiver availability, client needs, and geographic efficiency
- Proactively address call-outs, absences, and last-minute scheduling gaps to prevent service disruptions
- Communicate schedule changes clearly and ensure all parties are informed in real time
- Monitor ongoing cases to ensure services are being delivered consistently and according to plan
3. Recruitment, Hiring & Onboarding
- Manage the full hiring cycle, including:
- Reviewing applications
- Conducting interviews
- Selecting qualified candidates
- Coordinate onboarding for new hires, ensuring they are fully prepared before their first shift
- Ensure all new employees complete required documentation and onboarding steps
- Maintain communication with new hires to ensure a smooth transition into active scheduling
4. Compliance & Credential Management
- Verify and maintain all required caregiver credentials, including:
- CPR/First Aid certification
- Drug testing
- Identification and employment documentation
- Background checks
- Ensure all staff are fully compliant before being assigned to clients
- Maintain organized, up-to-date, and audit-ready employee files
- Track expiration dates and proactively follow up on renewals
5. Office Operations & Administrative Oversight
- Maintain an organized, efficient, and professional office environment
- Handle general administrative tasks including documentation, filing, and system updates
- Ensure all client and employee records are accurate, complete, and easily accessible
- Support internal processes related to service tracking, reporting, and documentation
- Assist in developing and maintaining structured workflows to improve operational efficiency
6. Problem Resolution & Operational Support
- Identify and resolve day-to-day operational challenges in real time
- Act quickly to prevent disruptions in care delivery
- Use sound judgment to make decisions that prioritize both client care and operational stability
- Escalate issues appropriately when necessary while maintaining ownership of resolution
7. Case Manager & Community Relations
- Communicate regularly with case managers to:
- Provide updates on active clients
- Coordinate services and transitions
- Build and maintain professional relationships
- Serve as a reliable and responsive point of contact for referral partners
- Support outreach efforts to strengthen partnerships within the community
8. Events & Community Engagement
- Assist in planning and coordinating senior and community engagement events
- Support logistics, communication, and execution of events hosted by the agency
- Represent the agency in a professional and welcoming manner within the community
Qualifications & Requirements
- Minimum 2+ years of administrative experience (home care or healthcare strongly preferred)
- Strong communication skills with the ability to manage both professional and sensitive conversations verbally and written
- Highly organized with strong attention to detail and documentation accuracy
- Ability to multitask and prioritize in a fast-paced environment
- Strong problem-solving skills with the ability to act quickly and independently
- Professional demeanor with a high level of accountability and reliability
- Comfortable handling phone-based communication throughout the day
- Must be able to work in-office consistently and maintain structured daily operations
Schedule & Compensation
- Schedule: Monday – Friday, 9:00 AM – 4:00 PM
- Pay: Competitive hourly rate based on experience, paid weekly
