Job Summary

Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly.
Manage multi-line phone systems efficiently, directing calls accurately and courteously.
Handle scheduling tasks such as calendar management and appointment setting using productivity software like Microsoft Office and Google Workspace.
Perform data entry, filing, and document proofreading to maintain accurate records and support administrative operations.
Assist with office management duties including supply inventory, filing systems, and basic bookkeeping using QuickBooks or similar tools.
Provide exceptional customer support by addressing inquiries, resolving issues, and ensuring positive interactions at all times.
Support clerical tasks such as typing correspondence, managing office emails, and maintaining organized files to enhance overall productivity.

Experience

Prior office experience or administrative roles that demonstrate strong organizational skills and attention to detail.
Proven customer service background with excellent phone etiquette and interpersonal skills.
Familiarity with computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry systems.
Experience with front desk or medical/dental receptionist duties is a plus, especially in handling multi-line phones and appointment scheduling.
Bilingual abilities are highly valued to serve diverse client needs effectively.
Demonstrated ability to manage time efficiently while multitasking in fast-paced environments.
Technical proficiency in office management software such as QuickBooks or bookkeeping tools is advantageous.
