Role Description Overview

The Events & Operations Coordinator supports the planning, coordination, and execution of Visit Rapid City and Main Street Square events while providing essential administrative and operational support to the organization. The role’s primary focus is event-related, including logistics, vendor coordination, volunteer management, and on-site execution, complemented by administrative functions that keep operations running effectively.

Key Qualifications

The Events & Operations Coordinator demonstrates strong organizational skills, keen attention to detail, and the ability to manage competing priorities in a fast-paced environment. Effective written and verbal communication is essential, as this role engages regularly with the public. Must be flexible, creative, have an entrepreneurial spirit, and a demonstrated passion for the mission, vision, and values of VRC. A genuine interest in community programming and destination development will position the role for success.

Key Responsibilities

● Assist in brainstorming, planning, and execution of Visit Rapid City and Main Street Square annual signature events, including sourcing and contracting of entertainment.

● Provide on-site assistance and coordination during events to ensure smooth execution according to plan while addressing issues promptly.

● Assist in recruitment of volunteers for events, ensuring adequate support for event activities.

● Maintain effective communications with operations staff facilitating seamless event setup, execution, and teardown.

● Maintain a comprehensive inventory of event supplies, equipment, and materials.

● Assist in overseeing the seasonal, part-time ice rink staff ensuring smooth operations and excellent customer service.

● Support accounts payable/receivable, ensuring all transactions are processed in a timely manner.

● Maintain events calendar on VisitRapidCity.com ensuring inclusion of all upcoming events, approving community submissions, and optimizing descriptions.

● Assist in leading the destination training program including attendee recruitment, teaching, and event creation.

Role Requirements

Essential job functions required for this role are as follows:

Ability to communicate effectively and courteously in a professional manner
Ability to lift and carry objects up to 50 pounds on occasion
Ability to lift and carry objects up to 30 pounds frequently
Ability to stand for extended periods of time
Ability to sit and squat
Ability to hear and see
Ability to stay alert at all times
Ability to drive a car and hold a valid driver’s license
Ability to be in attendance on a daily basis and to arrive promptly for the start of the work day
Ability to work flexible hours to adjust schedule to attend evening and weekend events, meetings, and conventions
Ability to pass a drug test
Ability to submit to a background/credit check
