Full Job Description

Executive Coordinator

Reports to: Executive Director
Status: Full-Time, Exempt
Schedule: Monday–Friday, 9:00 AM–5:30 PM
Location: Sag Harbor, NY (with optional work-from-home days)

About The Church

The Church is a multidisciplinary arts organization in Sag Harbor dedicated to fostering creativity, community, and the arts. Through exhibitions, artist residencies, performances, lectures, workshops, and public programs, The Church provides a space where artists and audiences come together to experience art, exchange ideas, and build connections.

Position Summary

The Executive Coordinator is a key member of The Church's team, working closely with the Executive Director to support the organization's growth, operations, and external relationships. This position requires an organized, thoughtful, and highly collaborative individual who can manage priorities, coordinate projects, and help move important initiatives forward.

The Executive Coordinator will support executive leadership, Board relations, development activities, and institutional initiatives while serving as an important point of connection between The Church's internal team and its external community of artists, donors, trustees, partners, and supporters.

The ideal candidate is a proactive problem solver with excellent communication skills, strong attention to detail, and the ability to work independently in a dynamic nonprofit arts environment.

Responsibilities

Executive & Organizational Support

Support the Executive Director in advancing organizational priorities, projects, and initiatives.
Prepare correspondence, presentations, reports, meeting materials, and other executive communications.
Coordinate Board communications, meetings, and materials in collaboration with the Executive Director.
Track projects, deadlines, and follow-up items to ensure timely completion.
Maintain organized records and confidential information with discretion.
Support special projects and organizational initiatives as needed.

Development & External Relations

Support the Executive Director's fundraising and relationship-building efforts with major donors, trustees, foundations, artists, and institutional partners.
Assist with donor stewardship, including preparing materials, coordinating communications, and maintaining accurate records.
Help plan and execute cultivation activities, including donor events, exhibition previews, and special gatherings.
Support the development of meaningful experiences for donors and Board members, including coordinating travel, visits, and cultural programming.
Assist with grant-related materials, timelines, and reporting.
Help ensure exceptional communication, hospitality, and follow-through with The Church's supporters and community partners.

Team & Operations Support

Collaborate across departments to support effective communication and organizational goals.
Assist with administrative systems, documentation, and operational needs.
Serve as a reliable resource for staff, Board members, artists, and external partners.
Contribute to creating a welcoming, organized, and professional environment at The Church.

Qualifications

3–5 years of experience in executive support, nonprofit administration, development, arts organizations, or a related field.
Exceptional organizational skills and attention to detail.
Strong written and verbal communication skills.
Ability to manage multiple priorities while maintaining professionalism and good judgment.
Experience working with senior leadership, Boards, donors, or external stakeholders preferred.
Ability to handle confidential information with discretion.
Proficiency with Google Workspace, Microsoft Office, and database/CRM systems preferred.
Interest in contemporary art and cultural organizations.

Compensation & Benefits

Salary: $65,000–$75,000 annually, commensurate with experience.
