This position works directly with the owner, the bookkeeper, and our district and store managers.
About the Role
We are hiring one Administrative & Inventory Coordinator to own both sides of our back office: administrative/finance support and inventory tracking and reporting.
This is not a clerical, answer-the-phone job. You will be the person who keeps our financial records organized, our inventory accounted for, and our leadership informed. You will collect information from nine locations, verify it, organize it, follow up until open items are closed, and escalate problems before they become expensive.

What You'll Do
Finance & Administrative Support
- Track store-level expenses and assign every cost to the correct location: rent, CAM fees, taxes, repairs, shipping, uniforms, freebies, equipment, and miscellaneous purchases
- Monitor credit card activity and categorize charges by store, vendor, and expense type
- Review bank account activity for missing deposits, duplicate charges, unexpected withdrawals, and unusual transactions
- Collect and organize vendor invoices; flag missing, overdue, or incorrect billing before month-end
- Track taxes, license renewals, and lease/CAM deadlines so nothing is missed
- Support payroll expense tracking, commission report preparation, and challenge/bonus money tracking
Inventory Management
- Track inventory totals at the first and last of each month and provide them to the bookkeeper
- Manage the RMA process end to end — confirm items are shipped back, monitor the credit window, and follow up until credit is received
- Track demo devices by location and manage demo buybacks through to credit
- Identify and document stale inventory, discrepancies, and written-off inventory; escalate unresolved items
- Maintain trackers for shipping costs, CEVA payments, transfers between stores, and inventory order totals
Reporting
- Prepare and organize recurring reports: EOM balance, stale inventory, gross margin, discount by location, and inventory variance
- Assemble the Monthly Finance Packet for owner and bookkeeper review
- Produce a one-page Red Flag Summary each month highlighting anything leadership needs to act on
Communication & Follow-Up
- Coordinate daily with the owner, bookkeeper, district manager, and store managers to collect missing information
- Escalate urgent issues — missing deposits, cash shortages, inventory variances, missed tax payments — immediately and in writing
- Maintain organized digital filing so any document can be located on request
What We're Looking For
Required
- 2+ years in an administrative, bookkeeping support, office management, or inventory/operations coordination role
- Strong Excel or Google Sheets skills — you can build and maintain a tracker without being shown how
- Proven accuracy with numbers, and the discipline to double-check before submitting
- Excellent written communication; you can explain a problem in a message that states what happened, which store, how much money, and who needs to act
- Ability to manage many open items at once and follow each one until it is closed
- Discretion with confidential payroll, commission, and financial information
- High school diploma or equivalent
Preferred
- Experience supporting a multi-location retail business
- Familiarity with QuickBooks or similar accounting software
- Bilingual English/Spanish
- Prior experience with inventory reconciliation, RMAs, or vendor credit recovery
