Full Job Description

Position Overview

We are seeking a highly organized, detail-oriented, and client-focused Investment Operations & Client Service Associate to support our growing wealth management practice. The ideal candidate will possess strong relationship management skills, financial services experience, and the ability to manage multiple priorities in a fast-paced environment. This position plays an integral role in delivering seamless client experience while supporting advisors in implementing investment and wealth management strategies

Key Responsibilities

Client Service & Account Support

Serve as a primary contact for client service requests.
Assist with account openings, transfers, rollovers, distributions, deposits, and withdrawals.
Respond to client inquiries, collect required documentation, and coordinate meetings.
Prepare and process client paperwork and account forms.

Investment & Account Administration

Open and maintain brokerage, IRA, SMA, and trust accounts.
Process beneficiary changes, account updates, and advisory account maintenance.
Support portfolio implementation and investment recommendations.

Retirement & Transfer Processing

Coordinate 401(k) and IRA rollovers and account transfers.
Work with custodians and financial institutions to resolve account and transfer requests.
Assist with retirement planning, Roth conversions, and account funding decisions.

Cash Management & Trading Support

Process contributions, withdrawals, distributions, ACH transactions, wire transfers, and account transfers.
Monitor account cash balances and support trading and portfolio activities.
Assist with investment research, asset allocation reviews, and portfolio proposals.

Compliance & Documentation

Maintain client records, compliance documentation, and case notes.
Process required regulatory forms and ensure audit readiness.
Manage e-signatures, transfer paperwork, and document retention.

Custodian & Operations Coordination

Partner with custodians, retirement plan providers, and internal operations teams to complete client requests.
Track service requests, follow-up items, and workflow priorities.
Support operational reporting and office administration.

Wealth Planning & Insurance Support

Assist with insurance servicing, trust administration, beneficiary updates, and estate planning support.
Support advisors in delivering comprehensive wealth management solutions.

Qualifications

· Bachelor’s degree

Life & Health Insurance License preferred or willingness to obtain upon hire.
Financial services or insurance industry experience preferred.
Strong customer service and administrative support experience.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office and data management systems.
Strong organizational skills with the ability to manage multiple priorities.
Detail-oriented with a high degree of accuracy.
Self-motivated, proactive, and committed to continuous learning.
Ability to work independently and collaboratively.
Demonstrated professionalism and discretion when handling confidential information.
