Job Overview

We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess strong technical skills to manage multiple tasks efficiently. You will serve as the first point of contact for visitors and clients, while also supporting office management activities that keep our workplace running seamlessly. This paid position offers an exciting opportunity to develop your administrative expertise in a professional environment committed to growth and excellence.

Duties

Greet clients and patients warmly, maintaining professional phone etiquette and a welcoming front desk presence
Manage multi-line phone systems, directing calls accurately and efficiently to appropriate departments or personnel
Handle data entry tasks with precision using productivity software such as Microsoft Office, spreadsheets, and Word processing tools
Maintain organized filing systems, both digital and paper-based, ensuring easy retrieval of documents and records
Support office management by coordinating calendar appointments, scheduling meetings, and managing travel arrangements
Assist with clerical duties such as proofreading correspondence, preparing reports, and managing office supplies inventory
Provide excellent customer support through prompt communication via phone or email, addressing inquiries professionally and courteously
Perform general administrative tasks that enhance office productivity and ensure efficient workflow

Experience

Proven experience in an office environment with strong clerical and administrative responsibilities
Familiarity with multi-line phone systems, front desk operations, and customer service best practices
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with data entry skills
Experience using QuickBooks or similar accounting software is highly desirable
Bilingual abilities are a plus to effectively communicate with diverse clients and team members
Demonstrated organizational skills with the ability to prioritize tasks effectively in a fast-paced setting
Strong computer literacy including familiarity with spreadsheets, document proofreading, and file management
Previous experience in office management or personal assistant roles is advantageous but not required
Excellent time management skills with the ability to handle multiple responsibilities simultaneously
