Marketing & Sales Assistant Position Summary

The Marketing & Sales Coordinator plays a key role in supporting the marketing, sales, and customer experience efforts of the organization. This position is responsible for managing sales leads, coordinating marketing campaigns, maintaining digital and print marketing materials, supporting real estate agents and brokers, and ensuring prospective customers receive timely, professional communication throughout the home-buying process.

The ideal candidate is highly organized, detail-oriented, creative, and comfortable balancing multiple priorities in a fast-paced environment. This individual will work closely with the Broker, Sales Team, and outside vendors to strengthen brand awareness, generate qualified leads, and support new home sales.

Essential ResponsibilitiesLead Management & Sales Support

Manage and distribute incoming sales leads from multiple sources, including websites, online advertising, social media, MLS portals, email inquiries, and third-party lead providers.
Maintain accurate customer records within the CRM system (Focus), ensuring timely lead assignment and follow-up.
Coordinate daily fulfillment of brochures and marketing materials for prospective customers.
Monitor lead activity and support sales agents with lead management and customer communications.

Marketing & Advertising

Coordinate the creation, design, and placement of print and digital advertising campaigns.
Manage marketing materials including brochures, newsletters, flyers, promotional pieces, and sales collateral.
Maintain advertising relationships with publications and online marketing partners.
Assist with branding initiatives and ensure consistency across all marketing materials.

Email Marketing

Create, schedule, and manage recurring email marketing campaigns and customer communications.
Develop drip campaigns for trade shows, events, and prospective buyers.
Maintain and update email templates and marketing correspondence.
Track campaign performance and recommend improvements.

Website & Digital Content

Maintain and update company websites with current information, photography, community news, realtor resources, and model home content.
Coordinate website enhancements with web developers and technology vendors.
Ensure digital content remains accurate, current, and aligned with brand standards.

Social Media & Digital Advertising

Create engaging content for Facebook, Instagram, X (Twitter), and other social media platforms.
Develop graphics, photography, and written content that promotes homes, events, amenities, and community lifestyle.
Manage paid social media advertising campaigns.
Monitor local events and community happenings for content opportunities.
Assist with seasonal marketing initiatives and promotional campaigns.

Reporting & Analytics

Prepare monthly marketing reports including CRM activity, lead generation, email marketing performance, website traffic, and Google Analytics.
Analyze campaign effectiveness and provide recommendations for improving marketing performance.

Customer Experience

Coordinate customer surveys and manage survey data within the CRM.
Identify positive customer feedback for marketing and testimonial opportunities.
Review tour logs and walk-in reports to ensure timely follow-up and communication with sales agents.
Assist with customer communications throughout the new home construction process.

Sales & Construction Support

Prepare SOLD signage and coordinate installation and removal with sales agents.
Assist with weekly construction updates and homeowner communications.
Update design and decorator selection documents as needed.
Provide backup support during customer walkthroughs and closings.
Coordinate photography for new homes and marketing materials.

Agent & Broker Support

Provide CRM and technology support to sales agents, including assistance with Outlook, mobile devices, MLS systems, Zillow, Realtor.com, and related software.
Train agents on CRM best practices and marketing tools.
Prepare postcards, mailing labels, and other marketing materials for agents.
Support the Broker with marketing initiatives, logo management, sponsorships, community events, and branding efforts.
Assist in maintaining compliance with MLS requirements and real estate licensing standards.

Qualifications

Associate's or Bachelor's degree in Marketing, Communications, Business, or a related field preferred.
2+ years of experience in marketing, real estate marketing, sales support, or administrative coordination preferred.
Experience with CRM systems (Focus CRM or similar), email marketing platforms, and Microsoft Office.
Familiarity with social media management and digital advertising platforms.
Experience with graphic design software such as Canva or Adobe Creative Suite is preferred.
Knowledge of website content management systems and Google Analytics is a plus.
