Job Summary

We are seeking a highly organized Administrative Specialist to join our dynamic team. Responsibilities

Greet visitors, answer multi-line phone systems, and direct calls with professionalism and courtesy using proper phone etiquette
Manage front desk operations, including handling incoming correspondence, mail distribution, and maintaining a tidy reception area
Utilize Office management software such as QuickBooks and Microsoft Office Suite for data entry, bookkeeping, invoicing, and record keeping
Organize and maintain filing systems—both physical and digital—ensuring confidentiality of sensitive information at all times
Support calendar management by scheduling appointments, meetings, and coordinating client communications effectively
Perform clerical tasks such as proofreading documents, data entry, typing reports, and maintaining accurate records
Assist with office supply inventory management and coordinate with vendors as needed to ensure smooth daily operations

Skills

Strong computer literacy with experience in Microsoft Office (Word, Excel, Outlook), Google Workspace applications, and familiarity with QuickBooks for bookkeeping tasks
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Proven experience in office management or administrative support roles with a focus on customer service excellence
Skilled in handling confidential information discreetly while maintaining professionalism in all interactions
Effective phone communication skills coupled with proper phone etiquette for client support and internal coordination
Strong time management abilities to prioritize tasks effectively while meeting deadlines
