Administrative Assistant / Front Desk (Bilingual English & Spanish) — On-Site

Location: Houston, Texas (on-site)
Job Type: Full-time
Schedule: Six days per week. Saturday off. Sunday 10:00 AM–4:00 PM. Weekdays are typically 10:00 AM–6:00 PM.
Compensation: $12.00–$20.00 per hour, depending on experience and skills.
Work Location: In person

Overview

Join a collaborative team at DJP - Texas’s luxury marketplace for buying and selling pre-owned fine jewelry, designer brands, precious metals/bullion, and watches. You’ll keep our front desk running smoothly, support the owners/CEO, and deliver warm, professional service to every client.

Responsibilities

Prepare, proof, and organize documents (intake forms, invoices/bills of sale, consignment agreements, shipping labels, receipts).
Manage phones, email, and in-person reception; greet clients and guide check-ins.
Maintain calendars, schedule appointments, and coordinate handoffs between sales, appraisal, and operations.
Customer care support: address inquiries, resolve issues promptly, and escalate to specialists as needed.
Office supply management: track inventory, place orders, and keep front/back-of-house stocked and guest-ready.
Data entry and file management in Google Workspace/Microsoft Office; update CRM (HubSpot a plus).
Collaborate with team members across departments; communicate status updates and handoffs clearly.
Light IT support: basic troubleshooting for printers/scanners, label printers, POS/iPad sign-ins, Wi-Fi, and account access; coordinate with vendors when needed.
Use AI tools (e.g., ChatGPT or Copilot) to draft emails, summarize notes, create checklists, and organize information quickly and accurately.
Additional assignments from the CEO/owners as priorities evolve (e.g., vendor follow-ups, simple research, travel arrangements, light errands).
Assist with inventory intake and shipping/receiving; keep the front-of-house neat, organized, and guest-ready.

Skills

Proficient with Microsoft Office and Google Workspace applications.
Strong computer literacy with the ability to learn new software quickly (CRM, POS/label systems).
Excellent organizational skills with a keen attention to detail; accurate data entry and filing.
Effective time-management skills to prioritize multiple tasks in a fast-paced, client-facing environment.
Bilingual required: fluent English and Spanish (spoken and written) for client communications.
Previous experience in front desk operations, administrative support, or office management is preferred.
Strong customer-service orientation with exceptional phone and in-person etiquette.
Experience in clerical roles, including data entry, filing, document preparation, and managing correspondence.
CRM familiarity (HubSpot preferred), basic IT troubleshooting comfort, and AI literacy for everyday productivity.
Luxury retail/jewelry background is a plus (not required).

Compensation & Benefits

Hourly pay: $12.00–$20.00 per hour, depending on experience and skills.

Physical & other requirements
