Full Job Description

Overview

We are seeking a dynamic and highly organized Office Manager to oversee daily administrative operations and ensure the smooth functioning of our office environment. This role is vital in maintaining an efficient workplace, supporting staff, and managing essential office systems. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating a welcoming and productive workspace.

Responsibilities

Manage front desk operations, including greeting visitors, handling inquiries, and directing phone calls using multi-line phone systems
Oversee office supplies inventory, place orders, and maintain filing systems to ensure accessibility and organization
Coordinate calendar management, scheduling meetings, appointments, and conference room bookings with precision
Utilize productivity software such as Microsoft Office (Word, Excel, Outlook) and QuickBooks for data entry, invoicing, and record keeping
Provide excellent customer service by supporting client communication and resolving administrative issues promptly
Maintain accurate records through data entry, proofreading documents, and managing spreadsheets for various projects
Support personal assistant tasks as needed, including travel arrangements and document preparation
Coordinate internal events hosted in the showroom
Maintain a client ready showroom and design library

Skills

Proficiency with Microsoft Office suite (Word processing, Spreadsheets, Calendar management) and QuickBooks accounting software
Strong computer literacy with excellent typing speed and data entry accuracy
Exceptional organizational skills with the ability to multitask effectively in a fast-paced environment
Excellent phone etiquette and communication skills for professional client interaction
Previous office management or administrative experience is preferred to ensure seamless operations
Technical proficiency in using office equipment such as multi-line phones, printers, scanners, and other productivity tools
Strong interpersonal skills
