Full Job Description

Overview
We are seeking a motivated and detail-oriented Office Assistant to join our small family owned automotive dealership. The ideal candidate will possess strong organizational skills and a commitment to providing excellent customer service. Also must have high honesty and integrity, be punctual and ontime. This role involves a variety of administrative tasks, ensuring the smooth operation of our dealership and customers. The Office Assistant will be responsible for managing front desk duties, greeting customers, providing requests for information, processing credit applications for approvals, take payments, and small clerical duties. Must be able to Multi-Task and be able to operate a computer. This is a part-time position. The days and hours needed are as follows: Mondays 12-5, Tuesdays 8-5, Friday 8-5, and at least every other Saturday 8-5 (can work every Saturday by choice and more hours if the required hours are met). This position has the possibilites to grow.

Must have reliable transportation as well as be punctual and on time.

Responsibilities

Greet visitors in the office and on the lot, ensuring a welcoming atmosphere.
Answer and direct calls with professionalism and courtesy.
Perform data entry, filing, and maintain organized records for easy access.
Assist scheduling appointments, and coordinating meetings.
Provide customer support by addressing inquiries and.
Support office management functions including but not limited to running credit applications & taking payments
Conduct proofreading of documents to ensure accuracy and professionalism.
Collaborate with team members to enhance workflow efficiency and communication.
Maintain computer literacy across various software applications including Microsoft Office and Google Workspace. Dealer Center is a plus.

Qualifications

Previous office experience is required; clerical or administrative and sales experience is a plus.
Proficiency in Microsoft Office Suite (Word, Excel,) and Google Workspace.
Familiarity with Dealer Center is a plus.
Strong organizational skills with the ability to manage multiple tasks effectively.
Excellent phone etiquette and customer service skills are essential.
Bilingual candidates are encouraged to apply to enhance communication with diverse clients.
Time management skills to prioritize tasks efficiently in a fast-paced environment.
