Job Summary:
The Program Director will oversee all daily operations and outreach services of Diaper Bank of the Ozarks (DBO), managing relations with and facilitating the effective distribution of product through our network of partner agencies. The ideal candidate must have a strong understanding of poverty (specifically diaper need and period poverty), be able to anticipate recipient and partner needs, discern program priorities, and achieve program goals with little supervision. For an individual to be successful in this role, they must be highly organized & detail oriented, a natural problem solver, and have excellent communication & interpersonal skills.
Key objectives for success:

Program Oversight
Develop and maintain excellent relationships with all partner agencies, ensuring mutual benefit to DBO/CCO and its PAs and that excellent service to the residents of our coverage area is the result. Must also work to ensure that all DBO inventory is accounted for with 100% accuracy and that quality data can be provided to explain how each inventory unit has been distributed to impact our service area. -
Team Leadership
Provide excellent team leadership to DBO staff and volunteers, leveraging individual talent to best serve the organization and provide fulfillment to each person. -
Support Volunteer & Community Engagement
Collaborate with Volunteer Resource Team to maintain recruitment and training for volunteer needs and to ensure organizational standards of excellence for the volunteer experience are upheld. Create and manage simple opportunities for the community to engage in programming via volunteerism and/or supply collection drives.
Responsibilities and Duties:
Partner Agency Management

Effectively manage all partner agencies (PAs), ensuring complete compliance with our MOA and all the requirements within and that action is taken when the MOA is violated.

Conduct all communication with PAs including mass and individual communication—sending out monthly program updates and reporting surveys, and answering questions.

Using annual PA survey results, determine annual share allocations for each PA, and communicate this information to each PA at the start of each year.

Conduct site visits of PAs to further develop relationships and ensure MOA compliance.
Manage Partner Ordering

Receive all partner orders, adjust based on availability of inventory, and send all follow-ups informing PAs when their orders are complete and scheduled for pickup.

Communicate order fulfillment needs and deadlines with dedicated volunteer.

Record all PA order quantities on the annual share-tracking spreadsheet, communicating with PAs from month to month, and ensuring that none go over their annual allocation.
Inventory Management & Purchasing

Conduct monthly physical inventory counts to ensure all products are accounted for with 100% accuracy and compare to numbers in the “Human Essentials” order platform.

Enter donations into “Human Essentials” software and provide reports to accounting team.

Working within budget and ensuring spending is paced out for entire year, leverage wholesale purchasing options to order diapers as needed to fulfill PA orders.
Team Leadership & Collaboration

Display excellent servant leadership to staff and volunteers by learning what their natural talents are, positioning them to best leverage those for the benefit of the organization and their personal fulfillment, and providing the support they need to be successful.

Provide clear and concise communication of expectations and objectives, addressing shortcomings directly and in a timely manner with clarity and kindness.

Collaborate with DBO and CCO team members to complete tasks necessary for effective program operations; examples include coordinating with DBO staff to ensure that volunteers are repackaging the correct products for upcoming order fulfillment and with warehouse staff to ensure that the right pallets of product are accessible at all times.
Program Impact Tracking

Ensure 100% participation in PA reports so that accurate information about the number of babies and households served can be recorded.

Report monthly data to CCO leadership and advancement staff and to NDBN annually.
CCO Speakers Bureau Participation

Attend public speaking engagements, as requested by community partners and supporters, to raise awareness about and increase support of DBO/CCO.

Complete bureau training requirements and regularly conduct research to update key statistics that highlight the need for diaper banking.

Work Hours:
CCO offers flexible scheduling options for staff, allowing them to choose between a typical Monday through Friday schedule with five eight-hour days or a modified schedule with four nine-hour days and a half-day on Fridays. Occasionally, program needs may require different schedules, including evening or weekend hours. Supervisors will regularly discuss schedules to ensure coverage of program needs, and employees must always obtain prior approval from their supervisor to change their schedule.

Education, Experience, and Qualifications:

Bachelor’s Degree or equivalent experience in Human Services, Communication, or Public Administration is preferred.

Experience working with volunteers is preferred.

Supervisory experience is preferred.

Must be a highly organized self-starter, capable of multi-tasking exceptionally well.

Ability to provide outstanding customer service, be an enthusiastic professional, and be able to build relationships with donors, church sponsors, clients, vendors, and the general public.

Excellent communication skills, including writing, proof reading, and public speaking.

Ability to manage multiple projects and work assignments, working with a variety of staff and volunteers.

Ability to direct others, have excellent interpersonal skills both in person and by phone, always displaying a high level of professionalism.

Have planning and logistics skills for a variety of programs and events.

Comfortable with computers and computer software such as Windows operating systems, Microsoft Word, Excel, and Access.
