Position Description

Position Title: Operations Coordinator- KOREAN/ENGLISH Bilingual

Department: Office of the Administrative Director

Reports To: Administrative Director

Employment Status: Full-Time (or Part-Time)

I. Position Summary

The Operations Coordinator supports the Administrative Director in overseeing institutional operations, compliance documentation, meeting logistics, policy tracking, and cross-department coordination. This position ensures that operational systems function efficiently and that institutional processes are properly documented in alignment with accreditation, regulatory, and internal governance requirements.

This role is administrative and execution-focused and does not carry policy-making authority. The Operations Coordinator provides structured follow-through, accountability tracking, and operational support to ensure institutional effectiveness and compliance integrity.

The Operations Coordinator also provides logistical and administrative support for chapel services and spiritual life events, ensuring smooth coordination, scheduling, communication, and documentation of campus-wide worship gatherings.

Essential Duties and Responsibilities

Operational and Administrative Support

Maintain the institutional master calendar, including Board of Trustees meetings, Academic Committee meetings, faculty meetings, chapel services, and institutional deadlines.
Track action items arising from Board, Academic Affairs, and administrative meetings.
Prepare, organize, and distribute meeting packets and supporting documentation.
Maintain digital filing systems and institutional records in an organized and secure manner.
Assist in drafting operational correspondence, internal memoranda, and administrative reports.

Compliance and Documentation Support

Maintain assigned documentation checklists related to accreditation and regulatory standards.
Ensure policy updates are properly version-controlled and archived.
Track formal approvals and verify that meeting minutes accurately reflect institutional actions.
Assist in compiling data and documentation for Annual Operational Reports and accreditation reviews.
Monitor documentation deadlines and maintain audit-ready files.

Cross-Department Coordination

Coordinate with the Registrar’s Office regarding attendance tracking, academic notices, and documentation.
Coordinate with the Business Office regarding tuition tracking and operational reporting.
Assist Human Resources with contract documentation and personnel record tracking.
Coordinate with Enrollment personnel regarding application status reports and onboarding workflows.
Ensure timely and accurate communication flow between departments.

Chapel and Spiritual Life Support

Coordinate chapel scheduling, speaker confirmations, and facility arrangements.
Assist with communication and promotion of chapel services and special spiritual life events.
Maintain chapel attendance documentation as required.
Support logistical setup and coordination in collaboration with campus leadership.

Reporting and Process Tracking

1. Develop and maintain operational trackers for policy review cycles, contract renewals, retention monitoring, and strategic initiatives.

2. Provide weekly operational status updates to the Administrative Director.

3. Maintain documentation supporting institutional planning and effectiveness processes.

III. Qualifications

Education: Bachelor’s degree required. Degree in Business Administration, Education, Organizational Leadership, or related field preferred.

Experience: Minimum of two (2) years of administrative coordination experience preferred. Experience in higher education or compliance-based environments is strongly preferred.

Skills and Competencies:

Strong organizational and time management skills
Close attention to detail and documentation accuracy
Proficiency in Microsoft Office and/or Google Workspace
Ability to manage confidential information responsibly
Strong written and verbal communication skills
Ability to manage multiple tasks and deadlines simultaneously
Demonstrated commitment to Christian faith and alignment with the mission of Washington Heritage University

Performance Expectations

1. Meeting minutes filed within forty-eight (48) hours of approved review.
2. Action item tracking updated weekly.
3. No missed compliance documentation deadlines.
4. Accurate policy version control and archival maintenance.
5. Timely preparation of Board and committee documentation.
6. Effective coordination and support of chapel services and spiritual life events.
Work Environment This position operates in a standard office environment and may require occasional evening or weekend hours during special events, chapel services, accreditation visits, or institutional meetings.

Pay: $20.00 - $25.00 per hour

Expected hours: 40.0 per week
