Operations & Accounts Payable Coordinator

Property Management | Full-Time

Location: St. Louis, MO

Salary: $55,000 annually

About AHRA

AHRA is a property management and investment firm based in St. Louis, Missouri. We oversee a diverse portfolio of commercial and residential properties throughout the St. Louis metropolitan region. As the company continues to grow, we are investing in our operations team and the systems that support it.

We are seeking a reliable, detail-oriented professional to take ownership of key accounting and administrative processes and help keep daily operations running smoothly. This is a versatile role that blends accounts payable work with broader operational and administrative responsibilities — well suited to someone who enjoys variety, takes initiative, and wants to grow with the company.

Position Overview

This is a blended operations and accounts payable role. Roughly half of your time will be spent on invoice processing and accounts payable support; the remainder is devoted to operational and administrative work that keeps our properties and tenants well served — utilities coordination, property and tenant onboarding, correspondence, and general office support.

We see this position as a foundation that can grow into something more. As you master the core responsibilities and as the company expands, there is a clear path toward greater ownership of operational workflows, process improvement, and added responsibility for the right person.

Primary ResponsibilitiesAccounts Payable & Accounting Support

Process invoices and assist with accounts payable and basic bookkeeping
Investigate and resolve discrepancies by reconciling vendor and tenant accounts and reviewing monthly statements
Coordinate bill payments and vendor communications
Assist the Accounting department with collection efforts for commercial and residential tenants
Utilize company property management and accounting software for daily entry and tracking

Operations & Administration (~50% of role)

Manage and monitor a portfolio of utility accounts — setup, transfers, tracking, and issue resolution
Coordinate property and tenant onboarding, ensuring records, accounts, and documentation are set up accurately and on time
Prepare, send, and track tenant and vendor correspondence, including annual letters as directed by executives
Assist with collection and tracking of Certificates of Insurance from tenants and vendors
Coordinate seasonal and recurring service contracts (landscaping, snow removal, and similar)
Maintain accurate and organized digital and physical filing systems
Communicate professionally with tenants, vendors, and clients
Support ownership and executives with administrative and operational tasks, and help ensure general office efficiency

Growth Opportunity

AHRA is in a growth phase, and this role is built to grow with it. As you demonstrate strong follow-through and a command of our processes, there will be opportunities to take on expanded responsibility — owning operational workflows end to end, contributing to process and systems improvements, and stepping into a larger role within the operations team over time.

Required Qualifications

1–2+ years of accounting, invoice processing, or administrative/operations experience (property management or accounting support preferred)
Working knowledge of basic bookkeeping and accounts payable processes
Strong organizational skills with high attention to detail
Ability to prioritize tasks and meet deadlines consistently across competing responsibilities
Proficiency in Microsoft Excel, Word, and Outlook
Strong written and verbal communication skills
Ability to work independently, take initiative, and follow through without constant direction

Preferred Qualifications

Experience with property management software (MRI, AppFolio, Yardi, or similar)
Experience coordinating utilities, vendors, or service contracts
Experience with tenant or property onboarding
Familiarity with commercial and/or residential property operations
