Job Title: Office Manager – Residential Moving Company

Job Summary:
The Office Manager is responsible for overseeing daily administrative operations of a residential moving company. This role ensures efficient scheduling, customer service excellence, accurate billing, and accurate accounting using Quickbooks Online. The ideal candidate is highly organized, customer-focused, and able to manage multiple priorities in a fast-paced environment.

Key Responsibilities:

Manage day-to-day office operations, including phone calls, emails, and customer inquiries
Schedule residential moves and coordinate logistics with Crew Coordinator.
Prepare and process estimates, invoices, and payments
Take accurate Household Goods inventories from clients
Maintain accurate customer records and job documentation
Handle customer concerns, complaints, and service follow-ups professionally
Supervise and support administrative staff, including hiring and training as needed
Coordinate with operations team to ensure timely and efficient job execution
Monitor office supplies and manage vendor relationships
Conduct payroll and basic bookkeeping tasks
Ensure compliance with company policies and relevant regulations

Qualifications:

High school diploma or equivalent (associate’s or bachelor’s degree preferred)
2+ years of office management or administrative experience (moving or logistics industry preferred)
Strong organizational and multitasking skills
Excellent communication and customer service abilities
Proficiency in Microsoft Office and scheduling/CRM software
Proficiency in Quick Books Online
Ability to work under pressure and solve problems quickly
Attention to detail and strong follow-through

Work Environment:

Office-based role with frequent communication with sales and logistics personnel
Fast-paced environment with peak demand during summer months
