Luxury Merchandise Buyer & Planner

About the Role

The Vault Luxury Resale is a nationally recognized, second-generation, women-owned leader in high-end luxury. We are seeking a sharp, number-savvy Luxury Merchandise Buyer & Planner to manage our international purchasing pipeline.

This role is built for a professional who loves high-end fashion, possesses excellent mathematical instincts, and is naturally aligned with international market hours. You will balance the fast-paced energy of live overseas procurement with real-time budget tracking to ensure every dollar invested brings back a profit. If you know designer brands, excel at numbers and spreadsheets, and want a high-responsibility role in the luxury industry, this project is for you.

Responsibilities

Global Live Procurement: Participate in live buying sessions within international luxury markets during peak global trading windows (typically 2 nights per week, requiring availability past midnight). Quickly evaluate images and condition descriptions to make rapid purchase decisions.
Open-to-Buy Management: Maintain buying spreadsheets to ensure all international purchases stay strictly within budget and turnover targets.
Real-Time Margin Modeling: Run live calculations in Excel during bidding windows to track landed costs, international premiums, and currency shifts.
Import Compliance & Logistics: Manage the international shipping pipeline. Ensure proper classification for incoming freight, coordinate with import brokers, and work with global carriers (DHL/FedEx) to clear shipments without delays.
Financial Reconciliation: Organize international wire instructions and match 100% of outgoing payments against foreign invoices and physical wins.
Showroom Inventory Audits: Conduct on-site unboxing and verify merchandise and condition markers against procurement descriptions to complete a strict physical match.

Requirements

Experience: Minimum 3+ years of experience in retail buying, merchandise planning, or inventory analysis with Open-to-Buy (OTB) management.
Excel Mastery: High proficiency in building and running margin models and analyzing numbers with zero errors.
Trade & Import Fluency: Direct experience handling international invoices, import documentation, and global carrier logistics.
Luxury Product Knowledge: Strong expertise in designer brands, materials, and resale condition grades.
Project Availability: Flexibility to align work execution with live international market hours past midnight, and at least two Saturdays a month, if needed.
Hyper-Precision: Strict internal discipline to audit own work and verify accuracy before deploying capital.
On-Site Component: Ability to perform physical inventory processing and checks at the Brentwood showroom as arrivals dictate.
Strict Work Authorization: Must be authorized to work in the U.S. on a permanent basis. This position does not support current or future visa sponsorship (no H-1B, OPT, or CPT).
Tools: Must provide own contractor equipment: high-performance laptop, smartphone, and a secure, high-speed internet connection.
