Full Job Description

Nexgrid is seeking a highly organized and professional Bilingual Office & International Operations Coordinator to support our office operations, sales administration, and international business activities.

A key responsibility of this position will be serving as a liaison between Nexgrid and our vendors, suppliers, and business partners in China. The successful candidate must be fluent in Mandarin Chinese and English, with the ability to communicate effectively in both languages in a professional business environment.

This position will also provide administrative and operational support to our management and sales teams. The ideal candidate is organized, detail-oriented, resourceful, and comfortable managing a variety of responsibilities in a fast-paced business environment.

Key Responsibilities

Serve as a primary liaison between Nexgrid and vendors, suppliers, and business partners in China
Communicate professionally in Mandarin Chinese and English through phone, email, virtual meetings, and written correspondence
Assist with vendor communications, quotations, purchase orders, product information, and follow-up
Provide administrative support to management and the sales team
Assist with purchase orders, invoices, expense reports, and general recordkeeping
Coordinate business travel, including flights, hotels, and transportation
Prepare business correspondence, spreadsheets, presentations, and other documentation
Assist with purchasing, shipping, and logistics coordination
Maintain organized office and electronic records
Coordinate general day-to-day office administrative activities
Assist with special projects and other operational needs as required

Qualifications

Fluent in Mandarin Chinese and English, both spoken and written
Experience in office administration, sales administration, business operations, or a similar role
Strong organizational and time-management skills
Excellent written and verbal communication skills
Strong attention to detail
Proficiency with Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook
Ability to manage multiple priorities and work independently
Professional and comfortable communicating with international business partners, vendors, customers, and employees

Preferred Qualifications

Experience working with Chinese manufacturers, suppliers, or business partners
Purchasing, procurement, or manufacturing-related experience
Sales administration or customer support experience
QuickBooks or Accounts Receivable experience
Experience with shipping and logistics documentation
Associate's or Bachelor's degree in Business Administration, International Business, or a related field

We're looking for someone who can become a trusted link between Nexgrid and our partners in China while also helping our U.S. operations run efficiently.

You should be comfortable wearing multiple hats, communicating with an overseas supplier one moment, assisting our sales team the next, and handling the everyday administrative needs of the office.

Pay: $55,000.00 - $65,000.00 per year
