Full Job Description

Job Overview

We are seeking a dynamic and detail-oriented Bookkeeper/Office Administrator to join our team! This role encompasses both administrative and financial responsibilities, ensuring efficient office operations and accurate financial management.

Duties

Bookkeeping:

1. Accounts Payable (A/P)

Manage contract estimates for projects, entering them into the system and categorizing by project class (architectural/structural/construction).
Create and maintains Purchase Orders
Create vendor profiles, issue Purchase Orders, and process bill payments.

2. Payroll and Employee Reimbursement:

Process biweekly payroll for employees and monthly payroll for the company owner.
Handle employee reimbursements for business-related expenses.

3. Accounts Receivable (AR):

Set up project estimates under client profiles, ensuring estimates are approved before invoicing.
Bill clients based on approved project estimates for construction and design contracts.

4. Collections Process:

Monitor overdue invoices, follow up with clients, and resolve any billing discrepancies.

Office Administration:

1. Create and update subcontractors/vendor lists

2. Phone and Visitor Management:

Answer phones, greet visitors, and manage office reception.
Monitor the company info email, respond to inquiries, and follow up with potential clients.
Schedule consultations and appointments with clients, vendors, and team members.

3. Janitorial and Office Supplies:

Schedule and monitor janitorial services twice a week.
Purchase office supplies (e.g., snacks, drinks, paper) and maintain stock levels.

4. Apply and Renew business license, software subscription, insurance renew.

5. Employee PTO Tracking:

6. Maintain and update company log in and passwords.

7. Oversee maintenance of company mobile phones, internet, and software systems.

8. Organize team activities and events, working with the Admin team to coordinate

Qualifications:

Proven experience as an Bookkeeper and Office Administrator or in a similar role.
Strong understanding of accounting principles, specifically in AP, AR, and payroll management.
Proficiency with office management software and accounting tools (e.g., QuickBooks, Microsoft Office Suite).
Excellent organizational skills and ability to multitask.
Strong written and verbal communication skills.
Ability to maintain confidentiality and handle sensitive information.
Experience with vendor management, office supplies, and placing orders.
Ability to communicate in Cantonese and/or Mandarin Chinese is a plus.
