Full Job Description

Job Overview
We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our medical office located in saint Vincent hospital, Worcester, MA. In this vital role, you will manage front desk operations, serve as the first point of contact for visitors and callers, and ensure smooth office functioning. Your positive attitude, exceptional organizational skills, and ability to handle multiple tasks with efficiency will contribute to creating a warm and organized environment for clients, staff, and guests alike. This paid position offers an exciting opportunity to develop your administrative expertise while supporting our team’s daily operations.

Responsibilities

Patient Reception: Welcoming patients, verifying identity, and creating a warm, anxiety-reducing environment.
Check-In & Check-Out: Guiding patients through intake forms, checking them in, scheduling follow-up appointments, and directing them to waiting or clinical areas.
Scheduling: Managing multi-line phones to schedule, reschedule, or confirm upcoming appointments and sending out patient reminders.
Insurance Verification: Reviewing and verifying insurance benefits prior to appointments and explaining coverage or co-pays to patients.
Billing & Payments: Collecting patient co-pays, deductibles, or account balances and reconciling daily cash collections.
Medical Records: Pulling and organizing patient charts, scanning documents into the system, and updating demographics while maintaining HIPAA compliance.
Office Management: Keeping the reception area clean and well-stocked, and triaging messages between patients and clinical staff.

Requirements

Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Previous experience as a receptionist in medical office is REQUIRED.
Demonstrated professionalism with strong phone etiquette and interpersonal skills
Clerical experience involving filing, proofreading, and document management is preferred
Ability to manage time efficiently while handling multiple responsibilities simultaneously
