Job Summary
We are seeking a dynamic and friendly Front Desk Staff member to be the welcoming face of our organization. In this vital role, you will manage front office operations, provide exceptional customer service, and ensure smooth administrative workflows. Your energetic approach and organizational skills will help create a positive environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while supporting daily operations with enthusiasm and professionalism.

Duties

Greet visitors, clients, and staff with a warm, professional demeanor, ensuring they feel welcomed and valued
Operate multi-line phone systems efficiently, directing calls accurately and courteously using proper phone etiquette
Manage appointment scheduling and calendar coordination to optimize office flow and meeting arrangements
Handle incoming correspondence, including emails, mailings, and deliveries, with attention to detail and promptness
Maintain organized filing systems, perform data entry tasks, and ensure accurate record keeping using Microsoft Office and Google Workspace tools
Assist with clerical duties such as proofreading documents, preparing reports, and managing office supplies inventory
Support administrative tasks like bookkeeping using QuickBooks, managing invoices, and performing basic bookkeeping functions

Experience

Prior office management or administrative experience is highly preferred
Proven customer service background demonstrating strong communication skills in person and over the phone
Familiarity with multi-line phone systems and professional phone etiquette
Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), data entry, and filing systems
Bilingual abilities are a plus to effectively serve diverse clientele
Experience with clerical tasks such as proofreading, calendar management, bookkeeping, and time management is desirable
Personal assistant or front desk support experience will be considered an asset
