Company Overview

Universal Service Recycling Inc. is a family-owned metal recycling company headquartered in Stockton, California. As California Valley’s premier recycling facility, we pride ourselves on delivering top-tier service and operational excellence. We are currently seeking a dependable and detail-oriented Administrative Assistant to support our daily office and operations functions.

Position Summary

This full-time, on-site position is essential to keeping daily administrative and operational processes running smoothly. The Administrative Assistant will handle paperwork, records, compliance documentation, and provide general office support, including backup assistance for dispatch and cashier functions. This role works on-site at our corporate office in Stockton, CA.

Essential Duties and Responsibilities

Perform day-to-day administrative tasks including filing, data entry, recordkeeping, and document organization
Prepare, process, and maintain Bills of Lading (BOL) for Nevada import/export and intra-company transfers
Receive and create invoices in DORIS and CalRecycle systems
Report, track, and maintain required compliance documentation
Review, code, and process vendor invoices, ensuring accuracy and adherence to approval requirements
Research and resolve vendor discrepancies, corrections, and/or adjustments
Enter scanned checks for all facilities into QuickBooks Desktop
Enter and reconcile transactions within QuickBooks Desktop
Maintain and record intercompany transactions
Maintain accounting records for multiple business entities and locations
Provide backup support for Dispatch, Cashier, and phone coverage as needed
Collaborate with internal teams to ensure proper accounting processes are followed
Communicate effectively with internal departments and external partners
Support special projects and perform additional administrative duties as assigned
Answer and operate mulit-line phone systems to handle incoming calls efficiently and courteously

Qualifications

QuickBooks Desktop experience is required
Previous administrative experience, preferably in operations, logistics, or recycling
DORIS and CalRecycle experience preferred
Strong attention to detail and accuracy
Ability to manage multiple tasks and meet deadlines
Strong communication and teamwork skills
Proficient with Microsoft Office (Word, Excel, Outlook)

Full-time (on-site)

Schedule

This position follows an alternating weekly schedule:

Week 1/3: Monday–Friday
Week 2/4: Monday–Saturday

Pay: $24.00 - $26.00 per hour
