Full Job Description

CLAD is a small, established specialty commercial contractor in Stockton, working on door, hardware, and access control projects throughout the Bay Area, Sacramento, and Central Valley. We're growing, and we need a genuinely qualified office coordinator who can run our day-to-day operations and grow into supporting our estimating team — not someone learning office basics on the job.

We value honesty, doing things the right way, and genuinely looking out for each other and our clients — not just getting the job done.

Full-time, in-person role — Stockton office, Monday–Friday, 8:00 AM–5:00 PM. Not remote or hybrid.

Pay: $28–$35/hour, depending on experience.

Benefits & Time Off: Two weeks paid time off, accruing after a 90-day probationary period. No traditional medical/dental — pay rate is set to reflect this.

What You'll Actually Be Doing

Managing client communication — phone, email, and website inquiries — professionally and promptly
Scheduling site assessments, installations, and coordinating with our field team
Tracking incoming materials and orders, and keeping projects moving without things sitting
Supporting project management — keeping job statuses, notes, and schedules current and accurate
Assisting with estimates — and for the right person, growing into drafting estimates directly over time
Sending invoices and following up on accounts receivable to keep cash flow moving
Running daily office operations: documentation, filing, and keeping the office organized and on schedule
Learning our industry's terminology (doors, frames, hardware, access control) well enough to talk to clients and field team confidently
Any and all other tasks as assigned — this is a small team and the role will flex as we grow
We're growing and evolving as a company, including transitioning to new software — genuinely excited to learn it and help lead that process alongside me, not just tolerate the change

What You'll Need — Real, Demonstrated Experience

3–5+ years in an office, administrative, or coordinator role — ideally in a small business or fast-paced environment where you wore multiple hats
Bachelor's degree a plus, not required — real experience and demonstrated skill matter more to us than a credential
Genuine daily proficiency with Gmail and Google Workspace (Docs, Sheets, Drive) — you use these tools fluently already, not "comfortable learning them"
A personal system for managing a busy, competing to-do list — and the follow-through to actually use it every day, so nothing slips
Excellent written and verbal communication — you can draft a clear, professional client email and hold a confident, clear conversation on the phone, without help
Comfort using AI tools as part of daily work — or genuine eagerness to learn
