Position Summary

The Corporate Office Coordinator serves as the first point of contact, while ensuring the efficient day-to-day operation of the corporate office. This role is responsible for front desk operations, office administration, communication support, and helping create a positive employee and visitor experience.

The ideal candidate is highly organized, customer-focused, detail-oriented, and able to manage multiple priorities in a fast-paced environment while maintaining professionalism and confidentiality.

Key Responsibilities

Front Desk & Customer Service

Greet and assist visitors, vendors, and employees.
Answer and direct incoming phone calls promptly and professionally.
Manage incoming and outgoing mail, packages, and deliveries.
Maintain a clean, organized, and professional reception area.
Assist with general inquiries and direct requests to the appropriate department.
Provide exceptional customer service while representing the company's culture and values.

Office Administration & Operations

Maintain office supplies, equipment, and inventory levels.
Coordinate office vendors and service providers.
Schedule office maintenance and repairs as needed.
Manage conference room scheduling and meeting space preparation.
Assist with document preparation, filing, scanning, and record management.
Support administrative projects and special assignments.

Communication & Information Management

Maintain Property Directories and Contact Lists.
Monitor shared email inboxes and route communications appropriately.
Maintain confidentiality of employee, resident, financial, and company information.
Support document retention and organization efforts.

Culture & Employee Experience Support

Assist with company events, celebrations, and employee recognition programs.
Support onboarding preparations and welcome activities for new hires.
Help coordinate training sessions and company meetings.
Assist with employee engagement initiatives.
Promote a positive, team-oriented work environment.

Qualifications

High School Diploma or GED required.
Associate’s degree in business administration or related field preferred.
2–5 years of administrative, customer service, reception, or office coordination experience.

Skills

Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Exceptional customer service orientation.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Ability to maintain confidentiality and professionalism.
Strong attention to detail and follow-through.
