We're looking for an experienced Fleet & Equipment Manager to oversee our commercial fleet, heavy construction equipment, facilities, and company assets. This individual will play a critical role in keeping our operations running by ensuring vehicles and equipment remain compliant, properly maintained, cost-effective, and ready for the field.

Position Summary
The Fleet & Equipment Manager is responsible for the day-to-day management of the company's fleet of commercial vehicles, heavy equipment, trailers, facilities, and other capital assets.
This position oversees the entire asset lifecycle—from purchasing and registration through preventive maintenance, repairs, compliance, insurance, reporting, and eventual replacement.
The ideal candidate is organized, proactive, financially conscious, and comfortable working with field personnel, vendors, insurance carriers, dealerships, and company leadership.
What You'll Be Responsible For
Fleet & Equipment Management
- Maintain an accurate inventory of all company-owned, leased, and rented vehicles, trailers, and construction equipment.
- Track asset assignments, locations, condition, utilization, and operating status.
- Coordinate vehicle and equipment assignments, transfers, replacements, and disposals.
- Maintain vehicle keys, titles, warranties, manuals, and equipment documentation.
- Recommend equipment repairs, replacement, or retirement based on age, condition, utilization, and repair history.
Preventive Maintenance & Repairs
- Develop and manage preventive maintenance schedules.
- Coordinate inspections, routine service, repairs, and manufacturer-recommended maintenance.
- Maintain detailed maintenance and repair records.
- Work with mechanics, dealerships, and outside vendors.
- Monitor equipment downtime and communicate status to Operations.
- Review repair estimates and invoices for accuracy.
- Identify recurring maintenance issues and opportunities to reduce repair costs.
Compliance & Fleet Administration
- Manage vehicle registrations, inspections, permits, licenses, and renewals.
- Oversee Highway Use Tax (HUT), OSCAR requirements, and other regulatory compliance.
- Ensure commercial vehicles remain compliant with state and federal requirements.
- Maintain insurance cards, permits, inspection records, and compliance documentation.
- Monitor renewal deadlines to prevent lapses in compliance.
Purchasing & Asset Planning
- Coordinate the purchase, lease, rental, and disposal of vehicles and equipment.
- Obtain competitive pricing from dealerships and vendors.
- Compare purchase, financing, leasing, and rental options.
- Assist leadership with capital budgeting and long-term fleet replacement planning.
- Maintain complete purchasing and ownership records.
Insurance & Claims Management
- Coordinate insurance coverage for vehicles, equipment, facilities, and company property.
- Add and remove assets from insurance schedules.
- Assist with vehicle accidents, equipment damage, theft, and insurance claims.
- Work directly with insurance brokers, repair facilities, and internal departments throughout the claims process.
Facilities & Property Management
- Maintain records for company yards, offices, warehouses, storage facilities, and equipment parking locations.
- Track leases, rental agreements, renewal dates, and facility expenses.
- Coordinate facility maintenance and repairs.
- Manage property access, keys, and security documentation.
- Help ensure company facilities remain organized, secure, and operational.
Reporting & Cost Management
- Monitor vehicle mileage, equipment usage, fuel consumption, maintenance costs, rentals, tolls, and operating expenses.
- Review vendor invoices for accuracy before payment.
- Prepare reports on fleet utilization, maintenance schedules, compliance, asset condition, and replacement recommendations.
- Identify opportunities to improve efficiency, reduce downtime, and control operating costs.
What We're Looking For
Required Qualifications
- 5+ years of fleet, equipment, asset, or facilities management experience
- Experience managing commercial vehicles and construction equipment
- Strong organizational and project management skills
- Experience coordinating preventive maintenance and repairs
- Working knowledge of vehicle registrations, inspections, insurance, and fleet compliance
- Ability to manage multiple priorities and deadlines
- Strong communication and problem-solving skills
- Proficiency with Microsoft Office
- Valid driver's license
Preferred Qualifications
- Utility, telecommunications, civil, or heavy construction experience
- Experience with Fleetio or similar fleet management software
- Multi-state fleet registration and compliance experience
- Highway Use Tax (HUT) and OSCAR administration
- Insurance claims management
- Capital budgeting and asset replacement planning
- Experience managing yards, warehouses, or equipment storage facilities
