This position is a hybrid of:

QuickBooks support + modern office administration + technology + customer communication + social media.

Alpha Zeta Landscaping – Palm City, Florida
Full-Time | In-Person

We are a growing landscape design and construction company seeking a smart, energetic, and highly organized professional to help manage our office, bookkeeping support, technology, scheduling, customer communication, and social media.

This is an important support position working closely with ownership and management. We need someone who can bring organization, accuracy, positive energy, and strong follow-through into a busy office environment.

Professional experience using QuickBooks Online is required. Candidates without hands-on QuickBooks Online experience will not be considered.

The right person will be comfortable working with numbers, software, customers, calendars, paperwork, photographs, and social media. They should be attentive, outgoing, dependable, technologically confident, and capable of learning new systems quickly.

Primary Responsibilities

Perform regular administrative and bookkeeping tasks using QuickBooks Online
Enter and organize bills, receipts, vendor information, customer information, payments, and financial records
Help maintain accurate and current bookkeeping documentation
Assist company ownership and management with QuickBooks reports and financial organization
Answer incoming telephone calls with a friendly and professional attitude
Speak confidently with customers, vendors, applicants, employees, and business partners
Take detailed messages and ensure calls and requests receive proper follow-up
Schedule estimates, consultations, meetings, deliveries, and appointments using Google Calendar
Monitor email, voicemail, calendars, and outstanding office tasks
Organize paper files, digital files, contracts, receipts, photographs, and customer records
Maintain accurate information in company software, spreadsheets, and customer-management systems
Follow up with customers, vendors, managers, and employees for missing documents or information
Assist with customer intake, lead tracking, scheduling, and general office coordination
Help prepare documents, spreadsheets, reports, forms, and internal correspondence
Create and schedule professional social media posts using project photographs and company information
Help manage content for Facebook, Instagram, Google Business Profile, and other online platforms
Organize project photographs and identify completed work that can be used for marketing
Use and learn software such as Google Workspace, QuickBooks Online, CompanyCam, Trello, Microsoft Office, Chat GPT, and related business applications
Help improve office systems and create simple procedures that make the company more organized and efficient

Required Qualifications

Professional, hands-on experience using QuickBooks Online
Previous administrative, bookkeeping, office-coordination, or financial-recordkeeping experience
Strong computer and software skills (Tech Friendly)
Experience using Google Calendar, Gmail, Google Drive, Google Docs, and Google Sheets
Ability to accurately organize receipts, bills, vendor records, customer records, and financial paperwork
Strong verbal and written communication skills
Confidence answering telephones and speaking with customers
Ability to manage several responsibilities without losing track of details
Dependable attendance and punctuality
Strong follow-through and personal accountability
Ability to work independently after receiving proper direction
Professional, positive, and low-drama attitude

Schedule and Compensation

Full-time, in-person position
Monday through Friday (weekly pay)
Located in Palm City, Florida
Compensation based on QuickBooks Online experience, bookkeeping ability, administrative experience, technology skills, and overall qualifications
