About Makkas Workroom

Makkas Workroom is a growing, family-owned company specializing in custom window treatments. Every project we complete is made to order, requiring close coordination between our Project Managers, production team, installers, and customers.

As our Office Administrator, you'll play a key role in keeping projects organized, installations scheduled, and communication flowing throughout the company. You'll manage installation scheduling while providing administrative support that helps our team deliver an exceptional experience from start to finish.

Key Responsibilities

Installation Scheduling

Build and maintain installation schedules for multiple active projects.
Coordinate installation dates with Project Managers, installers, and customers.
Confirm projects are ready for installation before scheduling.
Adjust schedules as needed due to production changes, material availability, customer requests, or project updates.
Communicate daily and weekly schedules to installation crews.
Keep customers informed of installation dates and schedule changes.
Monitor project timelines and help ensure installations are completed on schedule.

Office Administration

Provide administrative support to Project Managers and the leadership team.
Answer phones and direct calls professionally.
Greet customers, vendors, and visitors.
Maintain organized project files, documentation, and company records.
Prepare and organize project paperwork and other administrative documents.
Order and maintain office supplies.
Assist with general office responsibilities and special projects as needed.

Communication & Coordination

Maintain accurate scheduling information and project records.
Communicate effectively with Project Managers, production, installation crews, and customers.
Identify scheduling conflicts and work with the team to resolve them.
Help ensure a smooth flow of information between departments.

Qualifications

2–5 years of experience in an administrative, scheduling, coordination, or office support role.
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple priorities and meet deadlines.
Proficiency with Microsoft Office and Google Workspace.
Ability to adapt to changing priorities in a fast-paced environment.
Experience in construction, manufacturing, home improvement, or a related industry is preferred but not required.
