We are seeking an exceptional Personal Executive Assistant & Household Operations Lead to serve as the trusted right hand to our CEO. This is a unique opportunity for a highly organized, proactive professional who enjoys operating at the intersection of executive support and personal life management.

This role combines traditional executive assistance with oversight of household operations, ensuring both business and personal priorities are executed seamlessly. About the Role

This is a full-time, in-person position with Robinson & Casey, PLLC, supporting our CEO in both his professional leadership of the firm and select personal matters.

The main duties of this role is dedicated to executive support and business operations, while involving personal assistant and household coordination responsibilities. We are looking for someone who enjoys wearing multiple hats and understands that supporting a busy CEO sometimes extends beyond the office.

This is an ideal opportunity for an experienced Executive Assistant who wants to play a key role within a growing, mission-driven law firm while also helping create efficiency in the CEO's day-to-day life.

Executive Assistant & Business Operations (Primary Responsibilities)

Serve as the CEO's primary Executive Assistant and strategic partner.
Manage complex business and personal calendars while balancing competing priorities.
Coordinate executive meetings with attorneys, leadership, clients, referral partners, and vendors.
Manage business correspondence, email communications, and executive follow-up.
Prepare agendas, briefing documents, reports, presentations, and meeting materials.
Coordinate domestic and international business and personal travel.
Track strategic initiatives, projects, deadlines, and action items to completion.
Support firm operations through project coordination, research, and special initiatives.
Protect the CEO's time by managing priorities and ensuring seamless daily operations.

Personal Executive Assistance & Household Operations

In addition to executive support, you will oversee the CEO's personal operations and household, ensuring everything outside the office operates efficiently.

Responsibilities include:

Supervise and oversee household staff, ensuring work meets the CEO's expectations and standards.
Manage relationships with household vendors and service providers, including housekeepers, landscapers, contractors, maintenance providers, delivery services, and other vendors.
Coordinate schedules, projects, repairs, maintenance, and household improvements.
Hold vendors and household staff accountable for quality, timelines, and service standards.
Manage household budgets, recurring services, inventory, grocery procurement, and household supplies.
Coordinate family calendars, appointments, travel logistics, and personal commitments.
Plan and oversee personal projects, events, and special requests.
Develop systems, processes, and SOPs that improve household efficiency.
Proactively identify issues, anticipate needs, and resolve problems before they impact the CEO or family.

What We're Looking For

Required Qualifications

5+ years supporting a C-level executive as an Executive Assistant, Executive Coordinator, Executive Business Partner, or Personal Executive Assistant.
Experience managing executive calendars, travel, confidential communications, and competing priorities.
Experience coordinating personal tasks or household operations is strongly preferred.
Experience in a law firm, professional services firm, healthcare, consulting, or family office is a plus.
Experience supporting a CEO, founder, executive, entrepreneur, or high-net-worth individual.
Exceptional organizational and project management skills.
Ability to manage multiple priorities in a fast-paced environment.
Outstanding verbal and written communication skills.
Strong judgment, discretion, and professionalism.
Proven ability to anticipate needs and solve problems independently.
Experience managing vendors and outside service providers.
Reliable transportation.
Ability to work onsite in Delray Beach, Florida.
Ability to pass a Level II State and Federal Background Check.
Willingness to sign a Confidentiality and Non-Disclosure Agreement (NDA).
