Job Overview
We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support administrative functions to ensure smooth daily activities. Your positive attitude, organizational skills, and technical proficiency will help create a professional and efficient environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your office management skills while contributing to a dynamic team.

Responsibilities

Greet visitors and clients warmly, ensuring a positive first impression of the organization
Answer multi-line phone systems promptly and professionally, directing calls accurately
Manage appointment scheduling and calendar management using productivity software and Google Workspace tools
Handle data entry tasks with precision, including filing, record keeping, and updating databases such as QuickBooks or other office management systems
Maintain a tidy reception area and organize documents through effective filing systems
Assist with clerical duties such as proofreading correspondence, managing emails, and supporting administrative projects
Support office management tasks including supply inventory monitoring and basic bookkeeping activities
Provide excellent customer support by addressing inquiries efficiently and courteously
Coordinate with team members to ensure timely communication and workflow efficiency

Experience

Prior office experience or administrative support roles preferred, especially in law or other reception settings
Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and productivity software
Demonstrated experience with data entry, filing, and clerical tasks with high accuracy
Excellent phone etiquette and communication skills; bilingual abilities are a plus
Familiarity with multi-line phone systems and office management tools such as QuickBooks or similar platforms
Proven organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Technical proficiency in computer literacy including typing speed and proofreading capabilities
Personal assistant or front desk experience in Law settings ( paralegal ) is highly desirable
