Job Summary

Syracuse Trailer Depot is seeking a highly organized and detail-oriented Office Administrator/Coordinator to support daily office operations at our Cicero location. This role is essential to ensuring smooth sales processing, accurate DMV documentation, inventory tracking, and professional customer communication. The ideal candidate is comfortable multitasking, working with accounting and POS systems, handling DMV paperwork, and supporting marketing and social media efforts.

Data Entry and Reconciliation
Prepare Reports (ex.Sales Tax)
Inventory Management
DMV Paperwork
NYS DMV Verifi Online System Competency
Fill out DMV Paperwork Registration/Title/MV50/MV82
DMV paperwork drop offs/pickups
Mail out completed Registrations
Office Administration
Answering/Screening Phone Calls
Filing System (ex. Filing expenses, pulling records)
Ordering Supplies
Recording Leads
Social Media
Posting to feed (Customer Appreciation, Sales, New Inventory)
Posting Ads
Creating Ad Images (“Watermarked” Images, Canva)

Job Title: Office Administrator/Coordinator

Location: Syracuse Trailer Depot – Cicero Office
Employment Type: Full-Time

Key Responsibilities

Accounting & Sales Support

Process sales, invoices, and estimates using QuickBooks and Blackpurl POS
Accept and record customer payments accurately
Perform data entry and record maintenance
Prepare reports, including sales tax and related documentation

DMV & Registration Processing

Complete NYS DMV paperwork including Registrations, Titles, MV-50, and MV-82 forms
Maintain competency with the NYS DMV Verifi Online System
Coordinate DMV paperwork drop-offs and pickups
Mail completed registrations and maintain organized DMV records

Inventory & Reporting

Manage and track inventory records
Update inventory data as sales and deliveries occur
Assist with reporting related to inventory and sales activity

Office Administration

Answer and screen incoming phone calls
Maintain organized filing systems for expenses, records, and documentation
Order office supplies as needed
Record and track customer leads

Marketing & Social Media Support

Post regularly to social media feeds (customer appreciation, sales promotions, new inventory)
Create and post advertisements
Design basic marketing images using Canva

Qualifications & Skills

Experience with QuickBooks and POS systems
Familiarity with NYS DMV paperwork and online systems (Verifi experience a plus)
Strong attention to detail and organizational skills
Ability to multitask and manage deadlines in a fast-paced office environment
Proficiency with basic computer applications and data entry
Comfortable using Canva and social media platforms
Strong communication and customer service skills

Preferred Experience

Office administration or dealership experience
Inventory management and reporting
Social media or digital marketing support

Pay: $23.00 - $25.00 per hour

Expected hours: 40.0 per week
