Intake Specialist / Medical Assistant

Starting Pay: $23.50 per hour

About Northwest Integrated Health

Northwest Integrated Health is seeking a compassionate, organized, and detail-oriented Intake Specialist / Medical Assistant to join our team. We provide a patient-centered, evidence-based, comprehensive treatment model for individuals affected by substance use disorders and related health conditions.

Our mission is to create a comprehensive, integrated treatment model that treats addiction as a chronic disease while delivering compassionate, high-quality care to our patients and communities.

Position Summary

The Intake Specialist is primarily responsible for ensuring all patient intake, onboarding, and documentation processes are completed accurately, efficiently, and within required timelines.

This role works closely with patients, providers, counselors, Medical Assistants, and the Intake team to ensure all required forms, documentation, and onboarding requirements are completed.

Medical Assistant duties are secondary and will be performed as needed to provide backup support for clinic operations.

Primary Intake Responsibilities

Complete and assist with all required patient intake processes.
Complete the Central Registry Form.
Complete the Emergency Contact Form.
Complete required electronic document signing (Digi-signing) and ensure all required documents are signed.
Obtain and maintain required patient profile photographs.
Conduct patient orientation and assist patients through all onboarding requirements.
Ensure the SUPRT Form is completed accurately and submitted according to established procedures.
Verify all intake paperwork is complete, accurate, and submitted appropriately.
Review patient files for missing or incomplete documentation.
Follow up on outstanding intake forms and documentation.
Enter and update patient information in electronic systems.
Scan, upload, and maintain patient records and intake documentation.
Assist patients in completing required forms and answer intake-related questions.
Communicate with the Intake team regarding completed, pending, or missing documentation.
Support patient onboarding and educate patients regarding clinic processes and expectations.
Maintain intake trackers, reports, and follow-up lists.
Ensure intake documentation is completed within required timeframes.
Maintain patient confidentiality and HIPAA compliance.
Communicate professionally with patients, providers, staff, pharmacies, and community partners.

Communication & Organizational Responsibilities

Read, review, and respond to Teams messages and emails promptly.
Follow instructions and workflow updates communicated through Teams and email.
Maintain organized records and documentation.
Monitor patient flow and communicate any intake-related concerns or delays.
Prioritize work effectively and remain focused on intake responsibilities.
Provide excellent customer service to patients and staff.

Medical Assistant Backup Responsibilities

When needed, the Intake Specialist will provide support in the Medical Assistant role, including:

Recording vital signs and preparing patients for provider visits.
Performing blood draws and collecting urine specimens.
Processing, labeling, and documenting laboratory specimens.
Assisting providers during examinations and procedures.
Completing required Medical Assistant documentation.
Supporting patient flow and clinic operations.
Maintaining medication inventory and temperature logs.
Assisting with compliance tracking and documentation.
Supporting front desk operations when needed.
Performing other MA duties as assigned by management.

Required Qualifications (Education)

High School Diploma or equivalent required.

Licensure & Certification

Active Washington State Certified Medical Assistant (CMA) credential required.

Skills & Experience

Strong organizational and communication skills.
Ability to manage multiple tasks and prioritize workload effectively.
Experience working in a healthcare setting preferred.
Knowledge of patient intake processes and medical documentation.
Experience with Electronic Medical Records (EMR); EPIC experience preferred.
Ability to maintain confidentiality and comply with HIPAA regulations.
Ability to work independently and collaboratively in a team environment.

Working Conditions

This position is primarily performed in an outpatient clinical setting and requires the use of computers, phones, scanners, and other office equipment. The employee may sit, stand, walk, bend, and lift up to 30 pounds as part of daily duties.

Travel between Northwest Integrated Health locations may be required to provide coverage as needed.
