Job Overview

BJ's Tobacco II is seeking a highly organized, dependable, and motivated Executive Assistant to support leadership with daily administrative, operational, and business-related tasks. This position requires someone who is proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced retail environment.

The Executive Assistant will play a key role in helping leadership stay organized, improving efficiency, and ensuring day-to-day operations run smoothly. Confidentiality, professionalism, and excellent communication skills are essential.

Duties

Manage complex calendars, schedule appointments, and coordinate meetings with precision and attention to detail
Handle incoming calls using multi-line phone systems, directing inquiries with professionalism and courtesy.
Assist with hiring activities, onboarding paperwork, and personnel files.
Prepare, proofread, and edit correspondence, reports, presentations, and other documents using Microsoft Office and Google Workspace productivity software
Organize and maintain filing systems, both digital and physical, ensuring easy retrieval of information.
Run occasional business errands as needed.
Help organize company events, meetings, and special projects.
Support client communication efforts through phone support, email correspondence, and front desk management
Coordinate travel arrangements, including booking flights, accommodations, and preparing itineraries for executives

Requirements

2+ years of administrative or executive support experience preferred.
Strong organizational and time management skills.
Excellent written and verbal communication.
High level of professionalism and discretion with confidential information.
Strong attention to detail.
Ability to multitask and prioritize effectively.
Proficiency with Microsoft Office (Word, Excel, Outlook).
Valid driver's license and reliable transportation preferred.

Preferred Qualifications

Experience in retail, convenience store, or tobacco industry operations.
Experience with payroll, and scheduling.
Knowledge of inventory management.
Experience coordinating multiple projects and deadlines.
Strong problem-solving skills and ability to work independently.
