Kohler Heating is a family-owned business headquartered in Gig Harbor, WA, serving customers throughout Pierce and Kitsap counties. With over 25 years in business, we’ve built a strong reputation for quality work and customer service.

We are a growing company with a close-knit team of about 15 employees—combining office staff, service technicians, and installers. We take pride in maintaining a team-oriented, supportive, and fast-paced work environment where everyone plays an important role.

Position Overview

We are looking for a highly organized, motivated Office Coordinator / Service Dispatcher to join our team in Gig Harbor.

This role is ideal for someone who enjoys multi-tasking, problem-solving, and working directly with customers, while helping keep daily operations running smoothly.

You’ll split your time between:

Customer service & dispatch coordination
General office management & administrative support

Key ResponsibilitiesService Dispatch & Customer Service

Answer a high volume of incoming calls
Schedule service and maintenance appointments
Dispatch technicians to daily jobs
Communicate clearly with customers and field staff
Assist with billing follow-up and syncing with QuickBooks
Help improve scheduling and dispatch systems for efficiency

Office Management & Administrative Support

Support bookkeeper, sales team, and installation crews
Perform basic data entry and bookkeeping tasks
Track job progress and follow up with owner/office manager
Maintain detailed customer call records
Manage customer service email inbox
Help keep the office organized and stocked with supplies

Qualifications

Experience in HVAC/Dispatching is a must.
QuickBooks (preferred)
Microsoft Excel & Word
Strong organizational and multitasking skills
Excellent communication skills
Ability to learn quickly and adapt as the company grows
