Full Job Description

Position Summary

We are seeking a dynamic HR & Office Coordinator who can wear multiple hats: lead recruitment efforts and HR operations, provide support for day-to-day office operations and provide administrative support to company leadership. This is a unique opportunity to make a broad impact across people, culture, and growth.

The ideal candidate is highly organized, adaptable, detail-oriented, and able to manage multiple priorities while anticipating the needs of the office and leadership team.

Key Responsibilities

HR & Employee Experience

Serve as the first point of contact for HR-related questions with professionalism and empathy.
Support Human Resources operations, including onboarding, offboarding, performance tracking, payroll processing, benefits administration, compliance, and HR records management.
Work with board members and onsite employees to provide support, processing, oversight and compliance with onsite operations.
Assist with performance management processes such as annual employee surveys, annual and semiannual reviews and employee engagement initiatives.
Work with fractional HR Manager to ensure compliance with federal, state, and local employment laws.
Partner with leadership on employee relations and training initiatives.
Work with leadership to plan and coordinate employee events and occasions.
Contribute to process improvements and HR projects that enhance efficiency and employee satisfaction.
Manage full-cycle recruiting for all open positions including job postings, sourcing, resume screening, phone interviews, interview coordination, reference checks, offer letters and onboarding.
Partner with leadership and board members to understand current and future staffing needs and provide guidance on best practices.
Build and maintain a proactive talent pipeline.
Ensure a positive candidate experience aligned with company values.

Office Management & Operations

Oversee day-to-day office operations to maintain an organized, professional, and efficient workplace.
Regularly assess office inventory and reorder supplies before they are depleted, including management of recurring orders and subscriptions.
Organize and maintain office supply and storage areas to ensure materials are accessible and appropriately stocked.
Resolve issues related to deliveries, products, vendors, and office services.
Serve as a point of contact for employees regarding general office needs.
Maintain an organized and decluttered office environment.
Prepare desks, offices, supplies, and workspaces for incoming employees.
Serve as a point of contact for office vendors and service providers.
Maintain schedules and records for routine office maintenance.
Perform or coordinate routine office tasks, including monthly A/C filter replacement.
Monitor common areas, breakroom supplies, kitchen organization, and other shared office spaces.

Leadership & Administrative Support

Provide administrative and organizational support to company leadership.
Assist with scheduling, meeting coordination, correspondence, documentation, and follow-up as needed.
Assist with preparation and organization of company meetings, presentations, training materials, and reports.
Assist leadership with special projects and company engagement initiatives.
Handle confidential and sensitive company information with a high level of professionalism and discretion.
Manage and maintain company social media channels, including planning, creating, scheduling, and publishing content.
Assist with development and coordination of marketing collateral and branded materials.

Association Billing & Financial Administration

Prepare and process monthly association management fee billing.
Prepare and process monthly association addendum billing.
Maintain accurate records of recurring and additional association charges.
Coordinate with Accounting and appropriate team members to ensure billing information is complete, accurate, and processed timely.
Research and assist with resolving billing discrepancies as necessary.
Coordinate and process credit card reimbursements.
Collect and maintain receipts and supporting documentation for company credit card purchases and reimbursements.

Qualifications

Bachelor’s degree in Human Resources, Marketing, Communications, Business, or related field (or equivalent experience).
2–4 years of experience in recruiting.
Communication Skills: Excellent written and verbal communication abilities, strong interpersonal skills with the ability to connect and convey information with professionalism, clarity and authenticity.
Human Resources and Recruitment Expertise: Knowledge of employment laws, Human Resources best practices, and full-cycle recruitment processes. Experience with HRIS, ATS platforms, and onboarding systems.
Analytical Thinking and Reporting: Strong analytical skills, attention to detail, and ability to track metrics and generate meaningful reports to guide decision-making.
Highly organized, resilient, and able to manage multiple projects simultaneously.
Time Management and Organization: Strong ability to manage multiple priorities, meet deadlines, and stay organized in a fast-paced environment.
Independence and Initiative: Ability to work independently with minimal supervision while maintaining accountability for assigned tasks.
Team Collaboration and Professionalism: Collaborative mindset with a strong sense of ownership, responsibility, and accountability. Ability to build relationships with property teams, leadership, and external stakeholders.
High integrity and discretion when handling sensitive information.
