Full Job Description

For more than 131 years, J.C. Newman Cigar Co. has been crafting some of the world’s most respected cigars. Located in the heart of historic Ybor City, our restored historic building features a three-level cigar museum, interactive theater, hand-rolling room, factory store, and private event space. Guests from around the world visit us to experience Tampa’s cigar heritage, much like they would a winery, brewery, or distillery.

We are seeking a friendly, professional, and highly organized Receptionist – Office Assistant to serve as the first point of contact for our company. This position plays a vital role in creating a positive first impression for customers, vendors, suppliers, and visitors while providing administrative support to multiple departments across the organization. The ideal candidate is a self-starter who enjoys helping others, thrives in a fast-paced environment, and can effectively balance customer service with administrative responsibilities.

What You Will Do

As the Receptionist – Office Assistant, you will be responsible for managing incoming communications and supporting office operations across the organization. Your primary responsibility is to ensure callers, visitors, and internal team members receive professional, timely assistance while helping departments maintain efficient administrative processes.

You will:

Serve as the first point of contact by answering and directing incoming calls with professionalism and exceptional customer service
Receive, sort, and distribute incoming and outgoing mail and correspondence daily
Review, verify, and process expense reports for payment
Support the Accounting Department with customs documentation and related administrative tasks
Assist Accounts Payable by scanning, organizing, and processing check payments
Assist Factory Administration in verifying daily production data and preparing reports
Support Accounts Receivable by processing incoming payments and maintaining accurate records
Provide administrative and clerical support to multiple departments and assist with special projects

Qualifications

High School Diploma or equivalent GED required
Minimum three (3) years of experience as a receptionist, administrative assistant, or similar office support role
Strong verbal and written communication skills
Clear and professional speaking voice with excellent telephone etiquette.
Ability to read, write, and speak English
Spanish-speaking ability is a plus
Proficiency with Microsoft Office applications, including Excel and Outlook.
Strong organizational, time management, and multitasking skills
Ability to maintain confidentiality and handle sensitive information appropriately

Physical Requirements

Sit for extended periods while performing administrative and computer-based work
Frequent use of a computer, telephone, copier, scanner, and other standard office equipment
Communicate clearly and professionally in person and over the phone.
Occasionally lift, carry, and move office supplies, files, and packages up to 20 pounds
Ability to manage multiple priorities and interruptions in a fast-paced office environment while maintaining accuracy and professionalism.
